Role Overview
As our Document Controller you will play a key role in supporting project delivery through the accurate management, control, and distribution of project documentation.
You will be responsible for maintaining document integrity, ensuring compliance with company and client standards, and supporting commissioning teams through structured data and reporting processes.
The role is varied and hands-on, requiring strong organisational skills, attention to detail, and the ability to manage multiple priorities within a structured project environment.
Occasional travel, including overseas assignments, may be required.
Key Responsibilities
- Upload, manage, and maintain all project documentation including drawings, reports, calculations, schedules, and commissioning records
- Ensure strict version control and document traceability
- Maintain document registers, logs, and trackers
- Distribute controlled documents to relevant stakeholders in a timely manner
- Enforce company and client document standards, templates, naming conventions, and formatting
- Monitor compliance and escalate any document control issues or non-conformities
- Support the management of project programmes and progress tracking
- Assist with Planned vs Actual (PvA) reporting
- Compile commissioning performance reports and project documentation packs
- Liaise with internal and external stakeholders to collect, verify, and update project data
- Provide structured administrative support to commissioning and project teams
- Take ownership of project-related administrative activities
- Support Cx platforms and project data systems
- Adapt to project needs across different phases and teams
- Assist with coordination of documentation for international project teams
- Proven experience in Document Control, Project Support, or Administration within a structured project environment
- Experience working with project or system procedures
- Strong proficiency in Microsoft Office Suite (particularly Excel for logs, tracking sheets, and reporting)
- Experience with document management systems and business management systems
- Demonstrable experience supporting project or commissioning teams
- Background in construction, engineering, or commissioning environments
- Experience using document management platforms such as SharePoint, Aconex, or similar systems
- Experience supporting cross-functional project teams
- Experience working with international or remote teams on large-scale projects
