The Position:

The Project Coordinator supports the Project Management Office (PMO) by ensuring smooth execution of crossfunctional initiatives. This role focuses on project scheduling, documentation, task tracking, status reporting, and ensuring adherence to project governance standards. The Project Coordinator plays a critical role in enabling efficiency, strengthening compliance, and supporting senior PMs in delivering strategic project objectives.

Key Responsibilities:

Project Coordination & Execution
  • Support Project Managers in planning, organizing, and monitoring project activities, timelines, and deliverables.
  • Maintain and update project plans, action logs, RAID logs (risks, actions, issues, decisions), and status trackers.
  • Coordinate cross-functional meetings, prepare agendas, and capture minutes and action items.
  • Follow up with stakeholders to ensure timely completion of assigned tasks.
Documentation & Compliance
  • Ensure project documents are accurate, up to date, and stored per PMO standards.
  • Support the creation and maintenance of templates, SOPs, and structured documentation that reinforce project governance.
    Help track compliance with PDP, governance standards, and process checkpoints across the project lifecycle.
Communication & Reporting
  • Prepare recurring project status reports, stakeholder updates, and dashboard summaries.
  • Consolidate metrics related to schedule, risks, issues, and deliverables to support portfolio-level visibility.
  • Act as a central communication hub, helping ensure transparency across teams.
Operational & Administrative Support
  • Own routine coordination tasks (scheduling, reminders, documentation updates) that free senior PMs for higher-level planning and decision-making.
  • Help maintain data quality in PMO tools such as Smartsheet, JIRA, or other project systems.
Who You Are:
  • 13 years of experience in project coordination, project support, or related operational roles.
  • Strong organizational skills with the ability to manage multiple activities simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency with project management tools (e.g., Smartsheet, JIRA, MS Project, or similar).
  • Detailoriented and proactive with a strong sense of ownership.
  • Experience in biotech, diagnostics, medtech, or a regulated environment
  • Familiarity with product development processes, stage-gate frameworks, or cross-functional initiatives.
  • Exposure to PMO best practices and structured documentation standards.

The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to years of experience, skillset, geographic location, industry, education, etc. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.

$33—$36 USD
