Manages and assists with the day-to-day activities for academic success initiatives. Collects and reports data to monitor and improve initiatives, programs, and outcomes.
Essential Functions
As the Program Manager, this individual serves as the primary point of contact for both BASW and PhD students, from prospective students, through admission, onboarding, academic journey through to graduation.
Providing end-to-end support as the chief point of contact for student inquiries and engagement; exercises significant autonomy in managing program calendars, handbooks, financial aid workflows, and program-wide appointments., including GSA/TA/TF assignment and collaboration with the OTP. Additionally, the individual is responsible for tracking critical academic milestones for both programs.
Key Responsibilities
BASW Program Support
- Deliver administrative assistance to the BASW Director, including calendar management, travel arrangements, expense processing, and coordination of program meetings.
- Support academic processes such as managing transfer credits, maintaining PeopleSoft information, issuing permission numbers, preparing leave-of-absence letters, editing articulation agreements, and drafting course maps.
- Manage and maintain BASW student records in compliance with university procedures.
- Conduct student record audits each term to monitor academic progress and certify graduation eligibility.
- Serve as the primary point of contact for admitted and current BASW students; support scheduling, plan and implement orientation and graduation, and assist with student organizations and events.
- Maintain accurate and up-to-date program documentation, such as handbooks, policies, accreditation materials, website and catalog content, and promotional materials.
PhD Program Support
- Provide administrative support to the PhD Director, including processing expenses, coordinating program meetings, and scheduling/announcing PhD milestones.
- Support PhD academic and administrative processes, such as tracking applications, managing appointment and funding letters, posting financial aid awards, and monitoring milestones.
- Maintain student records according to university standards.
- Assist with recruitment and admissions, including planning virtual recruitment events.
- Serve as a primary resource for incoming PhD students and support student activities, dissertation progress communication, funding resources, orientation, graduation, and events.
- Maintain updated program materials, including handbooks, policies, website and catalog content, program review documentation, and promotional materials.
Physical Effort
Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.
