Real Estate Executive Assistant | Marketing & Operations
We are seeking a highly organized, proactive Real Estate Executive Assistant to support the day-to-day operations, marketing, and systems of a fast-paced real estate team. This role plays a key part in keeping listings, marketing, and internal processes running smoothly.
Responsibilities include managing listing and marketing timelines, creating and posting social media content, coordinating marketing materials and print newsletters, and maintaining organized systems using tools such as Trello and CRM platforms. The Executive Assistant will also help implement standard operating procedures, update the listing agent as tasks are completed, and ensure checklists and processes are followed consistently.
This role also supports business growth by researching and implementing new tools, assisting with email marketing and website updates, coordinating client appreciation initiatives, and overseeing virtual assistants when needed.
The ideal candidate is highly organized, tech-savvy, creative, and comfortable managing multiple projects at once. Strong communication skills, attention to detail, and the ability to follow structured systems and workflows are essential.

Compensation:$20 - $25 hourly
Responsibilities:- Execute office management tasks such as systematizing office records, and buying office equipment
- Answer phone calls, emails, and other requests and notify broker of necessary details
- Liaise between the supervising broker and clients
- Utilize database to safely keep track of customer records
- Oversee the broker’s schedules, team meetings, and travel arrangements
- Real estate experience preferred but not required
- Excellent Organizational & Time Management Skills – Ability to manage multiple projects, follow checklists, and keep listings, marketing tasks, and timelines on schedule.
- Social Media & Content Creation Experience – Comfortable recording short-form video, doing light editing (CapCut or Instagram Edits), and posting across multiple social media platforms.
- Graphic & Print Design Skills – Ability to design marketing materials such as monthly print newsletters, mailers, and social media graphics using tools like Canva or similar software.
- Tech-Savvy & Quick to Learn Systems – Comfortable learning new tools such as Trello, CRM systems, AI tools, and other technology used to improve business operations.
- Strong Communication & Accountability – Able to follow Standard Operating Procedures, update the listing agent on task completion, and communicate clearly with team members, vendors, and virtual assistants.
