CKD USA Corporation is seeking a Materials Management Assistant to join our team in our Austin Manufacturing. This position will support inventory control, purchasing coordination, logistics, and overall materials management functions within the organization.
The ideal candidate will be highly organized, detail-oriented, and capable of working effectively in a fast-paced office environment. Strong communication skills and the ability to collaborate with multiple departments are essential.
The Materials Management Assistant is responsible for supporting daily materials operations, including inventory tracking, order coordination, data entry, and communication with internal teams and suppliers. This role ensures accurate system records, timely material flow, and efficient coordination between purchasing, sales, and warehouse functions.
Responsibilities:
- Manage the full cycle Manufacturing Order Process, including releasing, and distribution of manufacturing order to respective locations for processing and closing.
- Assist with the preparation of reports, presentations, and other documentation as needed.
- Provide general administrative assistance to the manufacturing team, including answering phones, responding to emails, and handling correspondence.
- Organize and maintain both physical and electronic files, ensuring easy access to important documents.
- Ensure all documents are properly filed and archived according to company policies and regulatory requirements.
- Accurately enter data into the company’s ERP system or other databases as required.
- Maintain and update records related to production, quality control, and safety compliance as assigned.
- Manage office supplies, ensuring that all necessary materials are stocked and available.
- Assist with the coordination of meetings, including scheduling, preparing agendas, and taking minutes.
- Perform general office duties, such as photocopying, scanning, faxing, and mailing.
- Provide backup support for other administrative staff as needed.
- Act as a liaison with HR for onboarding new hires and miscellaneous training requirements. Including, but not limited to coordinating new hire luncheons and company events.
- Present a positive and respectful professional image towards customers and co-workers and make decisions based on company policies and processes.
- Perform other duties as assigned.
Requirements:
- Minimum of 1-2 years of administrative or office support experience, preferably in a manufacturing or industrial setting.
- Experience with ERP systems or other manufacturing software is a plus.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills, both written and verbal.
- Attention to detail and a high degree of accuracy in data entry and document preparation.
- Ability to work independently and as part of a team.
Education:
- High School Diploma or GED required; associate’s degree in business administration or a related field is preferred.
This position is primarily office-based with minimal physical demands.
- Primarily sedentary role with frequent computer use.
- Occasional standing, walking, or light lifting typical of an office environment.
- Regular communication via phone and in person.
- Work environment is a standard office setting with low to moderate noise levels.
