Reports To: VP of People & Operations

Department: Administration

Status, Classification: Full time Regular, Exempt

Position Summary

The Executive & Board Administrator partners closely with the President & CEO and executive leadership team to ensure the efficient and effective operation of the Executive Office. This role provides comprehensive administrative support across the executive team, including complex calendar management, travel coordination, and high-level administrative activities requiring exceptional discretion and confidentiality.

In addition, this role serves as the primary administrator for the organization’s Board and Committees, owning all coordination, communications, and documentation, and ensuring full compliance with applicable policies and Brown Act requirements. This position also oversees day-to-day office operations—such as supply management and general administrative processes—and contributes to employee engagement initiatives, ensuring a seamless, professional, and well-functioning executive environment.

Essential Responsibilities

  • Provide executive assistance to the President/CEO and executive team, including calendar and schedule management, budget tracking, travel arrangements, and confidential internal and external communications.
  • Prioritize and manage competing demands with a high level of responsiveness, initiative, and follow-through to ensure timely and successful completion of projects.
  • Brief the President & CEO on key industry events and upcoming engagements to ensure full preparation, including context on issues, stakeholders, objectives, and deliverables.
  • Provide administrative and operational support to the executive team, including coordination of meetings, correspondence, research, and preparation of reports and materials.
  • Lead the preparation and coordination of organizational reporting and compliance across multiple entities, including monthly, quarterly, and annual reports, tracking deliverables, and developing presentations for executive and public agency use.
  • Serve as primary staff liaison to the Board of Directors and Committees, owning all coordination, communications, records management, and ensuring full compliance with Brown Act requirements and organizational policies.
  • Establish connections and engage with government partners and elected officials, including Mayors, City Managers, Council Members, and Supervisors in order to support executive leadership.
  • Coordinate executive speaking engagements and support media-related opportunities.
  • Manage and execute special projects as assigned by the President & CEO or Board of Directors.
  • Manage executive expense reporting for the President & CEO.
  • Maintain accurate and up-to-date records for elected officials and board member contacts.
  • Oversee office operations, including vendor coordination, facilities management, supply inventory and budgeting, conference room scheduling, and mail distribution.
  • Serve as a liaison with building management and service providers to ensure a well-maintained and professional office environment.
  • Ensure adherence to organizational policies, procedures, and operational standards.
  • Other duties as assigned.

Education and Experience

  • Bachelor’s degree in business administration or related field preferred.
  • Minimum four (4) years' experience providing senior-level executive support.
  • Minimum one (1) years' experience with Brown Act and Board Governance preferred.
  • Hospitality/Tourism experience preferred.
  • Valid work authorization for the United States
  • For positions requiring driving as an essential job function, candidates must possess a valid driver's license, insurance, and an acceptable motor vehicle record. Alternative forms of transportation may be considered if they provide comparable travel time and cost efficiency.

  • Competitive salary range of $95,000 -$110,000 depending on experience.
