Position Description

We are looking for an Assistant Shop Manager to join our team in Maple Valley, WA located at our Ravensdale, WA Shop and operates out of a trailer, providing support to all mechanics and staff.
Position Summary
The Assistant Shop Manager maintains service records, creates work orders for repairs, approves invoices, manages timecard approvals, and ensures clear communication between equipment manager and project teams to support efficient shop operations.
Position Description
Essential Duties and Responsibilities
- Develop, implement, and administer procedures and standards for fleet administration, maintenance documentation, and equipment tracking.
- Independently review, analyze, and approve vendor and internal shop invoices, ensuring compliance with contract terms and corporate accounting policies.
- Manage vendor relationships, negotiate service terms, and evaluate performance to ensure operational excellence and cost efficiency.
- Lead the administrative management of the CLUE and Equipment360 systems, including data integrity, reporting, and workflow optimization.
- Analyze fleet and maintenance data to identify trends, forecast budget needs, and make recommendations for process improvement and cost reduction.
- Ensure ongoing compliance with DOT, DMV, Department of Ecology, and other regulatory requirements; develop internal processes to maintain audit readiness.
- Coordinate annual safety and environmental inspections of shop and yard facilities; oversee documentation and corrective action tracking.
- Manage and oversee telematics systems (Samsara Gateways), ensuring accurate setup, reporting, and performance monitoring for fleet assets.
- Establish and monitor key performance indicators (KPIs) related to equipment uptime, maintenance turnaround, and utilization efficiency.
- Collaborate with management to design and maintain preventive maintenance schedules and long-term fleet renewal plans.
- Serve as a subject matter expert and advisor to field and shop teams regarding administrative processes, compliance standards, and system utilization.
- Prepare and present reports, analyses, and recommendations to department leadership to support strategic decision-making.
- Perform other administrative and analytical duties

This position offers a salary range of $79,000 to $85,000 annually.

Position Requirements
Required Education, Experience, and Technical Knowledge
- Candidates must have the legal right to work in the US without employer sponsorship.
Education:
- Education: High school diploma or equivalent required; additional coursework or certification in business administration, operations, or fleet management preferred.
Experience:
- Minimum of 4 years of progressively responsible administrative, operations, or compliance experience, preferably in construction, fleet, or equipment management environments.
- Demonstrated ability to develop and manage administrative processes requiring independent judgment and discretion.
- Strong analytical, organizational, and problem-solving skills.
- Proficiency with fleet management systems (e.g., Equipment360, CLUE) and Microsoft Office applications.
- Excellent communication and interpersonal skills with the ability to coordinate effectively across departments and vendors.
Computer Skills:
- Experience with Word and Excel required.
- Experience with Vista by Viewpoint is preferred.
- Experience with HCSS Dispatcher, HCSS Heavy Job, HCSS E360 and CLUE preferred.
- Computer experience with various computer software programs is required.
- Basic bar chart scheduling knowledge is preferred.
