About the Role

Administrative Assistant duties and responsibilities includeproviding high level clerical support to ensure efficient operation of theoffice. Reports to Director and supports warehouse manager's needs to aide inthe operation of the day-to-day tasks. Assist with scheduling volunteers for avariety of tasks related to the overall functions of the Food Bank.

Ability to effectively communicate via phone and emailensuring that all administrative support duties are completed accurately anddelivered with high quality and in a timely and professional manner. Drawing onpast experiences using sound judgement to plan and accomplish goals utilizing awide degree of creativity is expected.

Must be proactive and not reactive and able toprofessionally represent the food bank and agency in a highly professional way,demeanor, attire, business acumen, interpersonal action, etc. and comfortablewith community engagement.

Key Responsibilities: Clerical andadministrative assistant duties; frontline person to interface with callers andvisitors in the reception and lobby area.

  • Help assign volunteer tasks and explain procedures.
  • Assist with keeping office and annex meeting areas neat and orderly.
  • Comply with all safety policies and procedures.
  • Provide general and administrative and errand support services for the Food Bank's food distribution, nutrition education, advocacy and volunteer programs.
  • Maintain volunteer database paperwork, volunteerhandbook, files etc.
  • Maintain and organize all filling systems.
  • Maintain volunteer information and perform tabulation when required.
  • Take in and weigh general food donations
  • Maintain and transmit information to the proper place for thank you letters
  • Order office supplies and maintain the organization of the office, paper, cabinets, storage closets, equipment, etc.
  • Maintain office and volunteer calendar in conjunction with all and any part-time employees
  • Provide community service letters as requested
  • Greet guests, sign in volunteer, conduct food bank tours
  • interact with vendors, partners, etc., as needed/required
  • Answer the main phone line and deliver messages and provide timely follow-up
  • Note: Perform all related and assigned duties associated with the daily operations of Mercer Street Friends Food Bank

Physical and Mental Demands:

  • 60% pushing, pulling, bending, squatting, reaching, climbing stairs
  • 100% writing, speaking, and understanding English
  • 90% standing unassisted, grasping, walking, finger manipulation and use of hand controls.
  • 100% visual acuity, hearing memory, independent judgement, relating to others, and manual dexterity
  • Lifting 35 lbs.

Requirements:

  • High School Diploma/GED
  • Spanish speaking is a plus
  • Experience in busy non-profit
  • Professional demeanor
  • Strong phone and writing skills
  • Ability to multi-task, stay focused and clearly communicate at all times
  • Commitment to working in a style consistent with the Quaker values of equality, integrity, simplicity and non-violent conflict resolutions
  • A driver's license in good standing, reliable transportation and automobile insurance for driving own vehicle
  • Microsoft office skills, filing, data entry, strong excel and word experience preferred.
  • Skilled flexible, professional administrative or executive assistant background with at least 2 years of solid clerical and project management experience.
