Position Summary

The primary purpose of the Human Resources Assistant will handle a variety of clerical duties. In this position, the Human Resources Assistant is to perform assigned duties in an efficient manner, in accordance with established procedures and as directed properly and in a timely manner. The Human Resources Assistant must demonstrate Aultman Health Foundation’s mission, vision and values, including to be professional, efficient, and provide quality customer service.

Department Summary

The Human Resources Department oversees various aspects of the employment process, including recruitment, onboarding, benefits, diversity, equity, and inclusion, employee events and training of new colleagues.

Qualifications

  • High School Graduate or equivalent required.
  • Minimum of 1-year experience in Professional Office Environment.
  • Knowledge of and Experience with Microsoft Office Programs – Word, Outlook, Excel and PowerPoint.

Responsibilities & Expectations

  • Maintains all aspects for all colleagues’ personnel files, including paper and online personnel files. Completes regular audits of personnel files.
  • Manages the Human Resources front desk area, including provide a friendly greeting to all visitors upon arrival and notifies the appropriate HR staff of the individual’s arrival or request.
    • Recruit, train and supervise Human Resources front desk interns and student workers.
  • Answers incoming telephone calls within an appropriate time frame of no more than 3-5 rings, then screens and directs call to the appropriate HR colleague.
  • Monitors Human Resources Help Desk Ticket system; answers or completes tickets and forwards to appropriate HR team members for completion as needed.
  • Monitors Human Resources and Employee Events email accounts; answers email and forwards to appropriate HR team member for completion as needed.
  • Receives all incoming mail for the Human Resources department; opens all mail, unless marked Confidential, sorts the mail, and places it in the appropriate mailbox in the HR department.
  • Complete Updates to Name, Emergency Contact, and Telecommute Remote Work Status in and Employee Verifications from Human Resources Information System.
  • Completes Aultman Health Foundation system duties, such as authoring monthly articles for Around Aultman Newsletter, processing Ohio Bureau of Motor Vehicles reports for employed drivers, and completing Public Service Loan Forgiveness forms.
  • Collect and process telecommute remote request forms, submitted through a help desk ticket by the manager.
  • Input payroll deductions for security badge replacements- Collect forms from security and confirm the colleague’s active status.
  • NCO I-9 and Visa verification/tracking-
  • Collect I-9 forms from new colleagues during orientation, along with the required identification documentation. Identify which colleagues will need E-verification. Complete each form based on the provided documentation.
  • Visa verification and tracking - Verify that visa documents are legitimate and adhere to specific terms, including permitted time and duties assigned. Process documents within compliance requirements.
  • Disciplinary forms/action plans/PIP
    • Gather all and ensure they are thoroughly completed and include all necessary information.
  • Subpoenas – Gather court documents and confirming their authenticity as official records. Send an employment information release form to the employees named in the subpoena. Collect the documents or information specified in the subpoena.
  • Provides clerical and operational support to Human Resources staff.

Working Conditions

  • Work eight hours a day, typically 7:30 am to 4 pm.
  • Work holidays as assigned.
  • Lunch periods and breaks must be coordinated with other staff members.
  • Required to frequently to talk and listen. Sits for most of the work shift. Subject to interruptions while completing tasks,
  • Works with highly confidential data and situations.
  • Occasionally works under pressure to meet deadlines.
  • Subject to consistent interruptions and changes in priorities of duties throughout the day.
  • Regularly required to type, file or lift office supplies.
  • Interacting in patient care environment as needed

Hazardous Exposure Category

Category III - Includes tasks that involve no exposure to blood, body fluids, or tissues and Category I tasks are not a condition of employment. The normal work routine involves no exposure to blood; body fluids or tissues (although situations can be imagined or hypothesized under which anyone anywhere might encounter potential exposure to body fluids.) Persons who perform these duties are not called upon as part of their employment to perform or assist in emergency care or first aid or to be potentially exposed in some other way.
