Position Summary:
The Patient Coordinator plays a pivotal role in delivering exceptional customer service within the outpatient physician practice setting. Responsible for various administrative tasks, this role ensures positive patient experiences. Key responsibilities include conducting patient reminder calls, verifying insurance, and assisting with medical record management. With a keen eye for detail, the Patient Coordinator registers patients, collects payments, and coordinates appointments while upholding strict confidentiality and HIPAA compliance. Proficiency in electronic medical record systems and effective communication skills are paramount for success in this role. The Patient Coordinator contributes to the practice's reputation by promoting adherence to policies and procedures and embracing opportunities for professional growth.
Essential Duties & Responsibilities:
- Deliver exceptional customer service to patients.
- Conduct patient reminder calls and verify insurance prior to the patient's visit.
- Assist with gathering patient medical records as needed.
- Support scanning documents into the EMR within 24-hours of receipt.
- Accept, sort, and distribute fax messages appropriately.
- Register patients upon arrival while verifying demographics, insurance, and reviewing consent forms.
- Upon insurance verification, collect copays and obtain pre-authorization from insurance as necessary.
- Ensure seamless communication between team members and patients via phone, email, and messaging with meticulous follow-up.
- Demonstrate proficiency in navigating Allscripts electronic medical record, practice management software, and Meditech hospital-based EMR systems.
- Conduct comprehensive chart reviews to guarantee accurate submissions to the coding/billing department.
- Maintain precise daily management of cash and receipts.
- Accompany patients to the exam area as needed.
- Coordinate appointments for specific tests following consultations with physicians and patients.
- Manage inventory, place orders, and verify receipts to ensure availability of supplies.
- Document all patient interactions accurately in the electronic medical record system.
- Uphold a safe, secure, and healthy work environment by adhering to established standards, procedures, and legal regulations.
- Maintain strict confidentiality in handling patient information and adhere to HIPAA compliance.
- Promote and adhere to practice policies and procedures, contributing to the practice's reputation and success.

- Fulfill any other duties as assigned by the Practice Manager and/or Director.
Qualifications:
High school graduate with a combination of at least one year of experience in customer service, preferably in a medical office setting. Typing and computer skills; ability to operate office equipment; ability to stay calm in emergencies; good communication, written and organizational skills; ability to deal with multiple tasks at a time and prioritize accordingly; able to adapt and incorporate any new tasks presented; ability to exercise sound judgment; contribute new ideas and solutions to problems; ability to maintain good relationships with the Center's personnel and staff physicians; ability to maintain patient confidentiality.
