About This Position
Summary
We are seeking a highly organized and detail-oriented Commercial Contract and Quote Analyst to join our dynamic team. This role is central to our sales and operations process, managing the end-to-end lifecycle of client contracts and sales proposals for our services. You will be the expert operator of our custom quoting and contract management applications, working within a complex, SKU-based quoting process and managing intricate parent/child account relationships. This position serves as a critical link between our Sales, Finance, Legal, Delivery and Operations teams, ensuring that all contracts and quotes are accurate, compliant, and efficiently processed through our core internal systems. This is a hybrid position requiring proximity to our Pittsburgh North Shore Headquarter office location.
Responsibilities
Quoting and Contract Management: Review, adjust, and manage complex, SKU-based sales quotes and contract agreements using our custom applications, ensuring accuracy in pricing, contract types, and billing account structures.
System and Process Management: Ensure that contracts are accurately entered and maintained throughout their lifecycle in our contract management system.
Revenue Team Support: Provide guidance and support to the revenue team on all quoting and contract-related matters, including SKUs, contract types, and terms and conditions.
Compliance and Risk Mitigation: Ensure all agreements adhere to legal standards and company policies. Identify and mitigate financial and compliance risks associated with contract terms and pricing accuracy.
Contract Administration: Collaborate with our legal team to draft, review, and amend a variety of contracts, including partner agreements, client contracts, and NDAs, ensuring precision and alignment with company standards.
Compliance & Performance Monitoring: Monitor contract performance to ensure full compliance with all terms, conditions, and deadlines. Proactively identify and address any deviations to ensure obligations are met and our contract records are maintained.
Documentation Control: Maintain detailed, organized, and secure digital files for all contracts, including all amendments, correspondence, and approvals, to ensure a clear and complete audit trail.
Communication Liaison: Serve as a central point of contact, coordinating with internal departments (Sales, Finance, Legal, Delivery and Operations) to resolve discrepancies and provide clear answers regarding quoting contract terms.
Risk Management: Identify and analyze potential risks in quotes and contract types and assist in developing effective mitigation strategies to protect the company’s interests.
Process Improvement: Develop and implement policies, procedures, and best practices for quoting and contract management to improve overall efficiency and effectiveness.
Requirements
Education: Bachelor's degree in Business Administration, Finance, Legal Studies, or a related field.
Experience: 5+ years of direct experience in a contract and/or quoting administrator or analyst role, preferably within an information technology or SaaS environment.
Technical Skills:
Demonstrated experience with custom or complex quoting and contract systems.
Deep background in complex, SKU-based quoting systems and managing intricate parent/child account relationships.
Proficiency in CRM software (Salesforce preferred), contract management software, and the Microsoft Office Suite.
Contract Expertise: Strong understanding of recuring revenue contract types and management principles, best practices, and the full contract lifecycle process, from drafting to termination.
Analytical Skills: Strong analytical and problem-solving skills, with a proven ability to identify issues, develop effective solutions, and make data-driven decisions.
Interpersonal Skills:
Ability to prioritize and manage multiple projects simultaneously in a fast-paced environment.
Exceptional attention to detail and accuracy, with a commitment to ensuring compliance with all contractual obligations.
