Job Title: Campus Visit Coordinator

Status: Non-Exempt Full-time 12 month schedule

Wage Grade: 720

Reports To: Manager of Campus Visit Experience

Position Overview: The Campus Visit Coordinator is the first point of contact for prospective students and their families, setting the tone for their experience with Augustana College. This role involves managing a fast-paced front office environment, providing exceptional customer service, and coordinating personalized campus visits. The coordinator supports the admissions team in delivering memorable, high-impact visit experiences that align with the college's recruitment goals.
Key Responsibilities:

1. Visitor Communication:
  • Serve as the primary point of contact for prospective students, families, and campus partners, providing accurate and friendly communication via phone, email, and in-person interactions.
  • Record and track interactions in the student information system, ensuring timely follow-up and accurate data management.
2. Visit Coordination:
  • Prepare personalized visit materials, including name tags, agendas, and information packets.
  • Create working visit agendas, coordinating schedules for counselor meetings, campus tour guides and meeting rooms.
  • Plan and execute group visits for school groups, field trips, and special events.
  • Schedule and coordinate athletic visit requests from coaching staff.
3. Student Staff Supervision:
  • Supervise a team of student Campus Visit Assistants, providing training, work and direction paired with ongoing support.
  • Collaborate with student workers to ensure a seamless and positive visitor experience.
4. Office Support and Administration:
  • Support the Manager of Campus Visit Experience in scheduling visitor appointments and coordinating faculty, coach, and counselor availability.
  • Provide additional support to admissions staff, including data entry, mail distribution, and office organization.
  • Maintain an organized inventory of visit supplies and office materials.
5. Event Support:
  • Assist incoming students with questions related to Orientation and Registration events.
  • Contribute to the planning and execution of large-scale visit events and special programs.
6. Problem-Solving and Professionalism:
  • Resolve scheduling conflicts and other issues independently, maintaining a professional and solutions-oriented approach.
  • Act as a resource for colleagues, providing insights and support as needed to enhance the campus visit experience.
7. Other Duties as Assigned:
  • Participate in special projects and support other admissions initiatives as needed.
Requirements:
Education:
High School diploma or GED. Advanced education or 1-3 years of customer service, event planning, or college admissions experience is highly preferred.
Skills & Experience:
  • Customer Service & Communication: 1-3 years of experience in customer service, including phone, email, and face-to-face interactions, with a demonstrated ability to make a positive first impression.
  • Event Planning & Coordination: Experience organizing and coordinating complex schedules and events, including group visits, presentations, and multi-step visitor agendas.
  • Technical Proficiency: Strong computer skills with intermediate knowledge of the Google Suite (Gmail, Google Calendar, Google Drive, Docs, Sheets) and experience with data entry and management in a CRM (e.g., Slate) preferred.
  • Leadership & Supervision: Experience working with or supervising student employees, providing direction, training, and mentorship to ensure high-quality visitor experiences.
  • Organizational Skills: Excellent prioritization and time management skills, with the ability to handle multiple projects and deadlines in a fast-paced environment with frequent interruptions.
  • Attention to Detail: Highly detail-oriented, with a track record of accuracy and thoroughness in materials preparation and data management.
  • Problem-Solving & Decision-Making: Strong critical thinking skills, with the ability to independently resolve scheduling conflicts and other unexpected challenges in a professional and timely manner.
  • Team Collaboration: Ability to build and maintain strong, collaborative relationships with colleagues across the admissions team and other campus departments.
  • Professionalism & Flexibility: Comfortable working independently and as part of a team, with a proactive, solutions-focused approach to daily responsibilities.
Physical Requirements: Must be able to lift 25 pounds on a frequent basis. Also required is the ability to listen, hear, speak, read, climb stairs, bend, stoop, and stand for intermittently long periods of time. Must be able to use a computer to accomplish a variety of job tasks.
