We are seeking a Database Administrator.
📍 Location:462 Grider Street Buffalo, NY
🏥 Department: Reporting to ECMC Foundation
🕒 Shift: Full-Time | Monday–Friday, 8:00 AM – 4:00 PM
Job Duties
- Manage and maintain the organization’s donor and constituent database (Raiser’s Edge), Auction software (GiveSmart) and other prospecting tools including DonorSearch.
- Ensure accuracy, consistency, and integrity of all records.
- Develop and enforce data entry standards and procedures.
- Monitor database performance and troubleshoot issues.
- Enters and updates prospect/donor records and constituent data in database.
- Processes gifts/pledges and transmittal of acknowledgement receipts/letters.
- Perform regular data cleaning, deduplication, and updates.
- Manage imports and exports of data from various systems.
- Create quarterly and ad-hoc reports for fundraising, finance, and leadership teams.
- Track key fundraising metrics, donor engagement, and campaign performance.
- Pull queries and provide insights to support strategic decision-making.
- Support fundraising campaigns by preparing mailing lists and segmentation.
- Manage gift entry, donor acknowledgments, and pledge tracking.
- Coordinate with the development team to track donor history and engagement.
- Collaborates with Foundation personnel in prospect research including the generation of donor and prospect profiles.
- Works with Foundation team and Finance to reconcile gifts and provide transaction information/reports as needed.
- Captures all donor and prospect engagement activities in database to include event participation and other forms of outreach.
- Trains Foundation employees on use of fundraising software and updates to software as needed.
- Integrate the database with online donation platforms, email marketing tools, and event management systems.
- Work with IT vendors or internal staff on upgrades, system changes, and new tools.
- Ensure data privacy and compliance with relevant regulations.
- Manage user access permissions and security protocols.
- Maintain documentation for database procedures and policies.

Qualifications
Education:
- Graduation from a regionally accredited or New York State registered college or university with a Bachelor’s Degree and two (2) years of general database administration.
- 10+ years of direct experience may apply in lieu of college degree.
Experience:
- 3–5 years of database management or CRM administration experience.
- Experience supporting fundraising or donor management systems preferred.
- Experience with Raiser’s Edge preferred.
- Experience with GiveSmart preferred.
- Experience with DonorSearch preferred.
Skills & Competencies:
- Strong data analysis and reporting skills.
- High attention to detail and data accuracy.
- Knowledge of CRM systems and data governance practices.
- Proficiency in Excel and data import/export tools.
- Working knowledge of not-for-profit fundraising principles and practices.
- Ability to handle multiple priorities.
