The Office Administrator plays a key role in supporting operational efficiency across projects and departments by ensuring accurate, timely, and compliant administration of financial, payroll, and project documentation. This role is integral to maintaining seamless coordination between field operations, finance, contracts, and billing teams, reinforcing AlumaSafways commitment to safety, accountability, and operational excellence.
Key Responsibilities:
- Answer and direct incoming phone calls in a professional and courteous manner, ensuring inquiries are routed to the appropriate individual or department.
- Provide front-line coverage for the rental desk, greeting customers and facilitating equipment rental transactions.
- Receive and process packing slips submitted via email or hard copy, ensuring accurate entry and documentation within internal systems.
- Maintain accurate, real-time tracking of assigned administrative tasks within the system, updating statuses regularly.
- Support Finance with report reconciliation prior to customer billing.
- Support job costing and timekeeping administration, including distribution, collection, and organization of daily and weekly timesheets.
- Maintain organized filing of timesheet and payroll documentation in accordance with AlumaSafway standards and record retention requirements.
- Collaborate with Contracts, Operations, and Billing teams to ensure smooth workflow and resolve delays, discrepancies, or missing documentation.
- Support quote preparation and related administrative tasks as required.
- Maintain reports, logs, and documentation relevant to assigned responsibilities.
- Assist in audit preparation through accurate documentation, organized filing, and detailed recordkeeping.
- Provide general administrative, coordination, and clerical support to ensure efficient office and project operations.
What you Bring:
- Minimum of 1 year of relevant administrative experience preferred; accounting exposure considered an asset but not required.
- High school diploma or equivalent required.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
- Strong written and verbal communication skills.
- Solid mathematical and numerical accuracy skills.
- Strong organizational and clerical capabilities.
- High attention to detail with the ability to identify discrepancies (problem sensitivity).
- Effective time management and ability to manage competing priorities in a fast-paced environment.
- Bilingualism in English and French considered an asset.
Physical Demands:
- This position requires regular communication, listening, standing, and walking. The role also requires prolonged periods of computer use, including sitting, typing, and visual focus on screens for extended durations. The ability to perform these functions safely and consistently in an office environment is required.
