You will act as the central coordination layer between strategy and execution, supporting project flow, maintaining documentation, and ensuring that key tasks and dependencies are tracked and completed on time. The position requires a strong sense of structure, attention to detail, and comfort working across distributed teams in a remote-first setting. You will support project managers and stakeholders by keeping systems accurate, meetings well-organized, and information easy to access. A key part of your impact will come from improving clarity, reducing operational friction, and ensuring nothing falls through the cracks. This is a highly organized, execution-focused role in a collaborative and impact-oriented environment.
- Maintain and update project management systems (such as Asana), ensuring tasks, owners, timelines, and statuses are accurate and up to date.
- Track progress, flag risks, dependencies, and overdue items, and support smooth execution across multiple workstreams.
- Organize and maintain shared documentation systems, ensuring information is structured, accessible, and consistently updated.
- Coordinate meetings, schedules, and follow-ups, including sending invites and ensuring action items are clearly captured.
- Prepare and distribute meeting notes, updates, trackers, and relevant documents to stakeholders.
- Support recurring operational processes such as reporting cycles, intake workflows, and template management.
- Assist in cross-team coordination to ensure alignment on deliverables and timely completion of tasks.
- Contribute to improving operational efficiency by identifying gaps, inconsistencies, and opportunities for better workflows.
- 2–3 years of experience in operations, coordination, project support, or similar roles.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Experience using project management or task-tracking tools such as Asana, Jira, or Monday.com.
- Ability to manage multiple priorities simultaneously while maintaining structure and reliability.
- Clear and professional written communication skills in English.
- Proactive mindset with strong follow-through and ability to work independently.
- Strong problem-solving skills and comfort asking clarifying questions when needed.
- Experience in non-profit, tech, or distributed international environments is a plus.
- Familiarity with collaborative, process-driven teams and structured workflows is highly valued.
