About This Position

DME Specialist

The DME Specialist is responsible for reviewing patient charts to identify individuals who may qualify for Durable Medical Equipment (DME) based on diagnosis and clinical documentation. This role verifies insurance benefits, documents eligibility within patient records, and ensures all required documentation is completed and submitted to billing.

The ideal candidate is a Medical Assistant with clinical knowledge and familiarity with insurance processes who can independently review charts, identify eligibility for equipment, and maintain accurate documentation. This position requires strong attention to detail, organization, and the ability to work independently in a non-patient-facing administrative and clinical support role.

RESPONSIBILITIES
  • Chart Review & Eligibility Identification
    • Review provider schedules to identify patients who may qualify for Durable Medical Equipment (DME).
    • Review patient charts and diagnoses to determine eligibility for braces or other DME products according to established guidelines.
    • Review patient charts to identify and flag patients requiring urine toxicology screening based on clinical protocols.
    • Document eligibility findings within patient charts and annotate upcoming appointments when applicable.
    • Review charts and flag appointments requiring Urine Drug Screen (UDS) testing based on clinical protocols.
  • Insurance Verification & Documentation
    • Verify insurance benefits for patients who qualify for DME products.
    • Save eligibility reports and documentation within the patient chart.
    • Request preauthorization for equipment when required by the payer.
    • Ensure all required documentation, including Letters of Medical Necessity and related paperwork, is completed and routed appropriately.
  • Billing & Follow-Up Coordination
    • Create DME schedules identifying eligible patients for each provider and maintain records in the designated DME scheduling folder.
    • Ensure all required documentation is submitted to billing to support accurate claims processing
    • Assist with claims follow-up by coordinating with providers, medical assistants, and billing staff when additional documentation is needed.
    • Follow up to confirm that patients received ordered DME equipment or supplies when applicable.
  • Administrative & Compliance
    • Assist with logging DME inventory when new shipments are received and maintain accurate inventory records.
    • Update internal tracking spreadsheets for patients receiving DME equipment.
    • Scan and maintain DME documentation within patient records.
    • Maintain organized files and documentation in accordance with company policies.
    • Maintain patient confidentiality and comply with HIPAA regulations.
    • Follow established DME policies and procedures.
REQUIREMENTS
  • 2-3 years or more experience working as a Medical Assistant (patient chart review and obtaining prior authorizations).
  • High school diploma or equivalent.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, etc.).
  • Excellent written and verbal communication skills.
  • Strong attention to detail with a proactive and problem-solving mindset.
  • Ability to work independently and manage multiple tasks effectively.
PHYSICAL/MENTAL REQUIREMENTS
  • Ability to sit at a desk and use a computer, phone, and office equipment for prolonged periods.
  • Manual dexterity for typing and handling documents.
  • Clear vision to read screens and printed materials.
  • Effective hearing and speaking to communicate via phone and in-person.
  • Emotional resilience to professionally manage stressful interactions
