Locatedin Greater Boston, MassBay is a comprehensive, open-access community college,offering associate degrees and certificate programs on three campuses inWellesley Hills, Framingham, and Ashland, Massachusetts.


Position Summary:

The ideal candidate will join a vibrant educational community, and have adesire and ability to serve a population of students with various needs andbackgrounds. The Selective Programs Admissions Coordinator plays a central rolein counseling applicants to selective academic programs at MassBay andsupporting the organization, evaluation, and progression of the applicant pool.This position provides individualized guidance to prospective studentsthroughout the selective admissions process, reviews application materials forcompleteness and eligibility, and ensures applicants receive timely, accurateinformation regarding requirements, deadlines, and next steps. Working closelywith academic program chairs and campus partners, the role supports data-drivenadmissions decisions, maintains accurate applicant records, and contributes toefficient, student-centered admissions operations that support institutionalenrollment and retention goals.

Key Responsibilities and Duties:

Communication and Pool Management of Selective ProgramApplicants

  • Respond to high-volume of prospective student inquiries; develop creative, efficient, and effective ways to educate prospective students of the opportunities, processes, and requirements of selective programs;

  • Utilize Slate, the college’s customer relation management tool, to send personalized communications to prospective students, including application updates, reminders, and next steps;

  • Maintain a comprehensive database of the applicant pool, and review application materials to determine whether applicants meet admissions requirements;

  • Serve as a knowledgeable resource for campus partners and prospective students by providing accurate information about academic programs and admission requirements;

  • Coordinate with program chairs regarding program updates, requirements, and changes;

  • Conduct in person and virtual information sessions for prospective students;

  • Assist in the development and implementation of recruitment strategies to attract qualified applicants;

  • Provide technical guidance and support to applicants navigating the application process.

Student Onboarding & Admissions Advising

  • Collaborate with Student Development, the Health Division, and the Automotive Division to plan and deliver program orientations and Ready2Register sessions;

  • Assist newly admitted selective applicants with the registration process to ensure enrollment in first-semester coursework;

  • Follow up with no-show students to ensure enrollment data is accurate for the current semester.

Admissions Operations

  • Support the effective operation of Slate and the college’s student information system, PeopleSoft, including making routine updates and collaborating with internal and external partners;

  • Maintain accurate admissions records and databases, tracking applicant progress and outcomes;

  • Troubleshoot application-related issues and escalate complex inquiries as appropriate;

  • Collaborate with admissions leadership to develop and implement policies and procedures related to the admissions processes;

  • Monitor curriculum changes to ensure all policies are current, prepare and update admissions publications and webpages, assist in the design and revision of admissions forms, applications, and brochures.

Admissions Processes & Events

  • Assist in planning and executing prospect and application processes, requirements, and deadlines;

  • Participate in events, information sessions, and open houses;

  • Represent MassBay at on and off campus recruitment events and conferences, building relationships with prospective students, alumni, and industry partners;

  • Create and manage events in Slate CRM and maintain an up-to-date admissions calendar;

  • Give tours of the Framingham, Wellesley, and Ashland campuses as needed.

Collaboration & Training

  • Collaborate with admissions staff and campus partners to streamline processes and enhance the overall admissions experience;

  • Participate in training to remain current on admissions policies, procedures, and technology tools;

  • Work closely with internal departments—including academic advising, marketing, the registrar, IT, and student services—to support enrollment goals and coordinate admissions processes;

  • Provide leadership and direction by providing accurate and up to date trainings and resources for admissions counselors, staff, and academic advisors, to ensure all are knowledgeable and confident in the processes, policies, and requirements of selective programs;

  • Other duties as assigned.

Minimum Qualifications:

  • Master's degree in Education, Psychology,Counseling, Human Services, Liberal Arts, or closely related field; with three(3) years experience and/or training involving college admissions, transfercredit evaluation, or academic counseling/advisement; or an equivalentcombination of education, training, and experience;

Preferred Qualifications:

  • Sensitivity and commitment to the goals of Affirmative Action;

  • Experience working in a community college or similar environment;

  • Demonstrated commitment to working with students in need;

  • Excellent written and verbal communication skills, with the ability to represent MassBay professionally both internally and externally;

  • Strong interpersonal skills and the ability to engage effectively with diverse populations;

  • High attention to detail with strong organizational and time-management skills;

  • Customer service–oriented approach and commitment to supporting students;

  • Availability for limited evening and weekend work related to events; occasional travel may be required.

  • Experience with PeopleSoft, or experience with similar student information system;

  • Proficiency with CRM systems (preferably Slate) and Microsoft Office Suite;

  • Fluency in Spanish or Portuguese.


Additional Information:

Salary Range: $80,066 -$89,537, in accordance with one's education and experience as dictated by thecollective bargaining agreement classification compensation structure.
