The Executive Assistant will play a pivotal role in supporting senior leaders in our San Francisco office, ensuring seamless daily operations and enabling the team to focus on strategic priorities. You will manage complex scheduling, coordinate meetings and events, and serve as a trusted partner who anticipates needs and solves problems proactively. This role requires exceptional organizational skills, professionalism, and the ability to thrive in a fast-paced, mission-driven environment.
Responsibilities
- Manage complex calendars, scheduling, and meeting coordination for senior leaders
- Coordinate travel arrangements, itineraries, and expense reporting
- Prepare correspondence, presentations, and meeting materials
- Serve as the point of contact for internal and external stakeholders, ensuring timely and professional communication
- Organize onsite and offsite meetings, events, and team activities
- Maintain confidentiality of sensitive information and demonstrate sound judgment
- Track and follow up on action items, ensuring deadlines are met and information flows smoothly
- Support office operations, including supplies, facilities requests, and vendor coordination
- Assist with special projects as needed, often handling them from concept through execution
- Anticipate needs, identify gaps, and proactively implement solutions that improve efficiency
Required Qualifications
- Several years of experience supporting senior-level leaders in a dynamic environment
- Strong organizational and prioritization skills with exceptional attention to detail
- Excellent verbal and written communication skills
- High level of professionalism, discretion, and judgment
- Proficiency with productivity tools such as Microsoft Office and collaborative platforms
- Ability to manage multiple priorities and adapt quickly to changing needs
- Proven ability to build strong relationships and collaborate across teams
- Self-starter who is resourceful, proactive, and solutions-oriented
Preferred Qualifications
- Experience supporting executives in the biotech, life sciences, or technology sector
- Familiarity with project management tools or workflows
- Experience coordinating cross-functional initiatives or events
- Comfort navigating ambiguity and contributing to process improvements

For candidates based in our South San Francisco office, the salary is $123,000 - $150,000.
For candidates working remote (US), the salary or hourly range is $94,000 - $112,000.
The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to years of experience, skillset, geographic location, industry, education, etc. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.
