The ideal candidate will have strong communication skills, the ability to multitask under pressure and has experience in scheduling and logistics.
Key Responsibilities:
- Field incoming phone calls to schedule service appointments for all branch locations
- Schedule and dispatch service technicians based on customer requests, technician availability and skill level and location
- Montor job progress and adjust schedules as needed to maximize efficiency
- Provide feedback and updates to Service Manager throughout the day
- Communicate with customers to confirm appointments and provide updates
- Ensure each call is accurate and detailed to set our technicians up for success
- Provide support to team members throughout the day as needed
- Address customer inquiries, provide information about our services and resolve basic issues
- Maintain accurate records of service calls
- Communicate effectively with Customer Service Representatives and Service Managers to coordinate scheduling
- Work with Customer Service Representatives to prioritize urgent service requests
- Provide consistent support to field technicians providing them with necessary job details and important information about their customers
- Rescheduling appointments as needed
- Assist with outbound calls to schedule appointments or follow up on service requests
- Perform other duties as assigned to support the team and company
- High school diploma or equivalent
- 1-3 years experience in dispatching, scheduling or a related field
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic computer knowledge
- Excellent verbal and written communication skills
- Friendly and professional demeanor
- Strong problem-solving skills and the ability to make quick decisions while prioritizing attention to detail
- A basic understanding of our service area – main roads, cities, towns, etc.
- Must have reliable transportation as this is an in-person position
- Ability to accurately type 50 wpm
- Knowledge of Service Titan is a plus
- Experience in the service industry is a plus
- Prolonged periods of sitting at a desk and working on a computer
- Frequent use of a telephone and computer to communicate with customers and teammates
- Occasional lifting of office supplies, files and equipment up to 25 pounds
- Ability to move freely around the office to access files, office equipment and interact with team members
- Regularly required to talk or hear and occasionally required to stand, walk and reach with hands and arms
