Administrative Specialist / Project Coordinator

For our office in Eslv, JMA Maskindata is looking for an experienced Administrative Coordinator in a newly created position, who will report to the Team Leader for Project & Planning, who is based in Denmark.

You will be an important part of our Swedish organization, which offers digitization solutions for agricultural machinery dealers, primarily using our unique industry solution DSM, which is based on Microsoft Dynamics 365 Business Central.

Our new colleague will take an active part in the exciting growth journey JMA is currently on, and the right person will also have a unique opportunity to influence the content of the position.

Our organization in Sweden consists of 10 people who work very closely with the Danish head office, located in Randers, just north of Aarhus. The Swedish organization has been in existence for more than 15 years and today has many customers who use our DSM solution. In addition to our existing customers, there is huge customer potential in Sweden, which is why we have created this new position.

The most important resource at JMA Maskindata is time, and in order to manage time in the most efficient way, a detailed overview of ongoing projects is required. Our new Administrative Coordinator will be responsible for registering and planning resource requirements for ongoing and future projects so that customers receive their solutions at the agreed time. The position will involve participating in weekly meetings where project plans are reviewed and information about new customer enquiries is shared.

You will also play an important role in ensuring that the office runs smoothly on a day-to-day basis, working closely with the team leader for the consultants.

Our new Administrative Coordinator has two main areas of responsibility:

  • Resource allocation of consultant hours
  • Selected financial tasks

Examples of specific tasks:

  • Updating project plans, primarily resource management
  • Allocating resources (hours) to projects and tasks
  • Following up on project plans and adjusting schedules as necessary
  • Coordinating tasks with the development department in Denmark
  • Invoicing of JMA cases in accordance with the agreement with the customer
  • Processing of incoming purchase invoices and light bookkeeping
  • Customer contact, e.g. chasing payment of invoices
  • Purchasing of consumables, such as office supplies, coffee, copy paper, etc.
  • Various administrative tasks

We imagine that you have experience from a similar position where you have been responsible for allocating resources (hours) to specific tasks, e.g. for field technicians. In addition, we expect you to be clear and concise in your communication so that your colleagues know what you expect of them. You have a twinkle in your eye when you approach your colleagues, even with things that can be a little difficult.

It will also be a huge advantage if you have experience with general bookkeeping. You do not need to have formal training – it is practical experience that we value highly.

As a person, we imagine that you are a typical self-starter who does not need to have a task explained in detail. You are motivated by having many different tasks, but you also understand how to prioritise and complete them according to the customer's wishes. As you will be working extensively with resource management, we also expect you to thrive on keeping track of details and processes, and you always go the extra mile to make sure plans succeed.
