Position Overview:

ANSER is seeking a Management Analyst focused on Logistics to provide direct support within the Office of the Secretary of Defense (OSD), Office of the Performance Improvement Officer and Director of Administration and Management (OPIO-DA&M) Office. In this role you will facilitate key OSD leadership initiatives including the Bond Program, bringing operational efficiencies and subject matter expertise to the Department of Defense (DoD).

This position requires on-site support at the Pentagon, Monday through Friday, during core business hours of 8am-4pm with potential shifts in work time based on operational requirements.

Day to Day Responsibilities:

  • In partnership with a team actively facilitate the identification, on-boarding, integration, and continued success of Executives serving the DoD under the program through support to high level DoD leadership, DoD offices and private sector executives.
  • Provide concierge level support to internal and external Bond Program participants through provision of subject matter expertise across broad operational requirements and carry out day-to-day activities to support this OSD initiative and its most senior leaders, the Secretary and Deputy Secretary of Defense, and the Military support commands and private sector executive participants.
  • Prepare draft work products in support of daily operations and meetings.
  • Provide office support requirements such as supply inventory and requests, office machine repair orders, Information Technology (IT) account requests, BOND Member travel reservations, and on-site BOND meeting support.
  • Assist with the processing of security clearances.
  • Assist with the processing of Special Government Employee appointments. The contractor shall review and file required documents.
  • Interact telephonically, face-to-face, and in writing in a courteous and professional manner, displaying patience and cooperation with private sector senior executives and senior government officials.
  • Assist with administrative operations to ensure they are met in a timely, orderly, and efficient manner. Administrative operations may include, but are not limited to:
    • Event planning
    • Event scheduling
    • Event logistics
    • Office supply procurement
    • Phone answering and message taking
    • Staff binders and contact lists updating
    • Mail and document delivery and retrieval
    • Package coordination with FEDEX
    • Document photocopying and scanning
    • Copier repair coordination
    • Calendar updates
    • Website or SharePoint maintenance
  • Support onboarding or offboarding of personnel, such as CAC and NIPR account requests, routing security clearance paperwork, routing ethics paperwork, etc.
  • Prepare travel authorizations and vouchers using the Defense Travel System (DTS), exercising professionalism and patience when frequent changes occur.
  • Review all outgoing correspondence for content, grammatical correctness, and established Department of Defense (DoD) formats.
  • Provide record compliance and other record lifecycle material applicable to existing Federal record policy and legislation, in accordance with the DoD Administrative Instruction 15 and other federal record requirements such as DoD, General Services Administration (GSA) and National Archives and Records Administration (NAR)
  • All other activities as required or directed in support of OSD initiatives.

Required Qualifications:

  • Active Secret clearance required at date of hire with ability to obtain TS/SCI.
  • Bachelors Degree
  • 8+ years experience with relevant professional work efforts, preferably within the OSD or the DoD.
  • Prior experience providing professional and analytic deliverables, insights in support of technical, managerial, procedural, project tasks.
  • 6+ years of direct support to senior level DoD personnel.
  • Prior experience working with and/or supporting senior-level officials and knowledge of the structure and missions of the OSD and the Components.
  • Prior experience working correspondence management, task assignment and tracking, or Executive Secretariat-like functions in the U.S. government.

Preferred Qualifications:

  • TS/SCI clearance.
  • Masters Degree
  • 15+ years experience with relevant professional work efforts, preferably within the OSD or the DoD.
  • 10+ years of direct support to senior level DoD personnel.
  • Exceptional oral and written communication skills.
  • Strong understanding of concierge level support to urgent requirements.
  • Strong people skills with the ability to objectively view requirements and evolve operations to maximize efficiencies.
  • Highly proficient with the Microsoft Office Suite of applications, especially Word, Excel, PowerPoint, SharePoint, and Teams.
  • Ability to produce quality work independently or in a group setting, provide solutions to customer issues, and solve problems quickly.
