About the Role
The Tenant Coordinator is a central connector within our Thrive on Collaboration property, supporting tenants and on-site teams to ensure the building operates smoothly while maintaining a welcoming, community-driven environment. This role blends strong administrative skills with hospitality, relationship-building, and an eye for detail. You’ll play a key role in shaping how tenants experience the building every day.

Tenant Experience and Community Engagement

  • Serve as a primary point of contact for tenants, delivering responsive, professional, and friendly support
  • Partner closely with our building engineer to coordinate and follow up on tenant service requests, ensuring timely and thorough resolution
  • Support Thrive on Collaboration initiatives by assisting with tenant events, networking opportunities, and community-building activities
  • Coordinate tenant move-ins, orientations, and welcome materials to ensure a seamless onboarding experience
  • Build strong working relationships with tenants and vendors to promote a positive, connected building culture

Administrative and Operational Support

  • Process and code vendor invoices with accuracy, supporting accounts payable and financial tracking
  • Maintain and track vendor and tenant insurance certificates, ensuring records remain current and compliant
  • Assist with lease administration tasks such as abstracting, rent statements, correspondence, and organized document filing
  • Support team with reporting, data tracking, and general administrative needs

Financial and Project Coordination

  • Assist with preparing bid proposals, service contracts, and bid comparison summaries
  • Support tenant billing for items such as work orders, HVAC usage, and meter readings
  • Provide coordination support for tenant improvement projects and capital initiatives, helping keep timelines and documentation organized

Front Desk, Communication, and Office Coordination

  • Act as a welcoming first point of contact for tenants, vendors, and guests, reflecting the Thrive on Collaboration brand and values
  • Coordinate meetings, inspections, tours, and community events within the property
  • Assist with troubleshooting and coordinating support for phone, technology, and office systems as needed
Requirements:

What We’re Looking For

  • At least two years of experience in customer service, administrative, or clerical roles (commercial real estate experience is a plus)
  • Proficiency in Microsoft Office, particularly Excel
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Clear, professional communication skills and a collaborative, service-oriented approach
  • A polished demeanor with a high level of integrity, discretion, and confidentiality

Nice to Have

  • Experience with property management systems such as Yardi, MRI, Kardin, Angus Anywhere, Impak or Facility Dude
  • Familiarity with project management or database tools like Smartsheet
  • General understanding of commercial property management operations
