Administrative Assistant to the System CMO/CNE

The Administrative Assistant to the System Chief Medical Officer (CMO) and System Chief Nursing Executive (CNE) provides highlevel, proactive executive support in a complex, fastpaced healthcare environment. This role serves as a trusted partner to senior clinical leaders, enabling effective decisionmaking, operational execution, and communication across the system. The position requires advanced judgment, discretion, strong organizational skills, and the ability to anticipate needs while managing multiple priorities with minimal direction.
Key Responsibilities
Executive Support
• Provide comprehensive administrative support to the System CMO and System CNE, including complex calendar management, meeting coordination, and travel arrangements.
• Anticipate executive needs by proactively preparing materials, briefing documents, and follow ups.
• Serve as a primary point of contact for internal and external stakeholders, prioritizing and routing requests appropriately.
Communication & Coordination
• Draft, edit, and format high quality correspondence, presentations, reports, and meeting materials on behalf of executives.
• Coordinate executive level meetings, including agendas, pre-reads, minutes, and tracking of action items and decisions.
• Facilitate communication across clinical, operational, and administrative leaders to support alignment and timely execution.
Operational & Strategic Support
• Track initiatives, deadlines, and deliverables for system level priorities; follow up to ensure completion.
• Support preparation for QPC/board, executive leadership, and system meetings.
• Assist with project coordination related to clinical, quality, safety, and strategic initiatives.
Information & Data Management
• Maintain confidential files, records, and documentation with the highest level of discretion.
• Organize and manage digital content using enterprise tools (e.g., Microsoft Teams, SharePoint, Outlook).
• Support light data tracking and reporting as needed (e.g., dashboards, logs, status summaries).
Relationship & Culture Stewardship
• Demonstrate our Texas Health Promise Behaviors
• Build strong working relationships across the organization, modeling professionalism and respect.
• Represent the offices of the System CMO and CNE with credibility, diplomacy, and emotional intelligence.
Education
H.S. Diploma or Equivalent Required
Associates or Bachelors Preferred
Experience
5 Years experience in support of a department or supervisor or projects Required
Healthcare of Large Matrixed Organization experience Strongly Preferred
Demonstrated experience supporting C-Suite or senior physician/nursing leaders a Plus
Project Management Experience and Process Improvement Experience Preferred
Licenses and Certifications
Lean Six Sigma Certification a Plus
Project Management Certifications a Plus
PACE and CAP or Other Certifications a Plus

• Advanced calendar and meeting management in highly complex environments.
• Strong written and verbal communication skills; ability to synthesize information clearly and concisely.

Technology & Digital Fluency
• Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, CoPilot, Teams, SharePoint).
• Comfort adopting new digital tools, collaboration platforms, and workflow automation.
• Ability to leverage technology to improve efficiency (e.g., templates, shared workspaces, task tracking).
