The Club at Crazy Mountain Ranch is a private membership experience set on 18,000 extraordinary acres in the state of Montana. Crazy Mountain Ranch is a project by Lone Mountain Land Company (LMLC) that manages the planning, entitlement, building, marketing, and sale of premier real estate communities around Big Sky, Montana.
Position Summary
Crazy Mountain Ranch is seeking a versatile and highly organized Administrative Assistant to support the General Manager and ensure the smooth day-to-day operations of the club. This role requires a unique blend of upper-level support, operational organization, and guest service orientation. The ideal candidate will be proactive, reliable, discreet, and thrive in a close-knit, fast-paced environment. You will act as the GM’s right hand while also supporting interdepartmental communication, administrative processes, and occasional member-facing needs.

Key Responsibilities
Administrative Support
- Provide daily administrative support to the General Manager, including calendar management, meeting coordination, correspondence, and document preparation.
- Coordinate internal meetings, site visits, and leadership communications; maintain agendas and track follow-up items.
- Assist with travel planning and logistics for the GM and visiting guests or staff.
- Draft, proofread, and distribute internal communications, reports, presentations, and proposals.
- Maintain organized digital and physical filing systems related to club operations.
- Order office and administrative supplies and maintain inventory.
- Assist with coding and tracking invoices, expense reports, and purchasing documentation.
Operational & Club Support
- Act as a point of contact between the GM and department heads, supporting operational follow-through.
- Attend department and leadership meetings as needed, take accurate minutes, and assist in follow-up actions.
- Support the coordination and communication of seasonal operations, events, and stakeholder updates.
- Assist with requests for proposals, vendor coordination, and light project management tasks.
- Uphold confidentiality and professionalism in all communications, particularly regarding members and club operations.
Guest Service & Club Culture
- Greet and assist members, guests, vendors, and staff with professionalism and discretion.
- Ensure that all interactions are handled in a warm, respectful, and service-oriented manner.
- Represent Crazy Mountain Ranch with a high standard of hospitality and integrity at all times.
- Respect member privacy and contribute to a welcoming, discreet club culture.
Qualifications
- 2+ years in an administrative or office coordinator role; hospitality or private club experience preferred.
- Excellent verbal and written communication skills.
- High attention to detail with strong organizational and time management skills.
- Professionalism, discretion, and the ability to handle confidential information are essential.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with project or document management tools is a plus.
- Self-starter with a calm, flexible demeanor and the ability to multitask in a dynamic, seasonal setting.
- Reliable transportation and a valid driver’s license required.
- Willingness to work evenings, weekends, and holidays as needed.
