Responsibilities
  • Serve as the primary point of contact for clients via phone, email, and in-person inquiries, ensuring a professional and responsive experience.
  • Answer, screen, and direct incoming calls in a professional and timely manner.
  • Schedule and manage client appointments, meetings, and conference calls.
  • Work closely with the US Sales Team and Tax & Accounting Operations Team to ensure client needs are met efficiently and effectively.
  • Support the end-to-end client journey, including onboarding, scheduling, and ongoing communication.
  • Prepare and maintain sales-related documentation, reports, and presentations.
  • Manage and update client records, contracts, and databases with accuracy and attention to detail.
  • Provide general administrative support, including filing, data entry, and document management.
  • Coordinate office operations, maintain a professional and organized front office environment, and ensure common office spaces are tidy and well-maintained.
  • Assist in tracking sales pipeline activity, client requests, and follow-ups to ensure nothing is missed.
  • Handle incoming inquiries, resolve issues promptly, and escalate when necessary.
  • Support organization of client meetings, internal events, and company gatherings (scheduling, logistics, coordination).
  • Maintain strong communication between clients and internal teams to ensure alignment and satisfaction.
  • Ensure a high level of professionalism and confidentiality when handling sensitive information.
  • Support special projects and ad-hoc requests from the executive team and firm owner.
  • Report directly to the Director of Sales & Business Development, providing updates and assisting with team initiatives as needed.
Requirements
  • High School Diploma required; Associate's or Bachelor's degree preferred.
  • Proven experience in a front office, client support, or administrative role — strong phone skills are a must.
  • Experience working in a fast-paced, client-facing office environment.
  • Excellent verbal and written communication skills with a client-first mindset.
  • Strong organizational and multitasking abilities with the ability to manage multiple priorities effectively.
  • Detail-oriented with high level of accuracy in documentation and data management.
  • Professional demeanor and customer service orientation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); comfortable working with sales teams and leadership.
  • Ability to quickly learn new systems and processes, including firm-specific software.
  • Experience with CRM or sales tools is a plus.
  • A sales-oriented mindset and confidence in client interactions is strongly preferred.
  • Prior experience in an accounting or professional services environment is a plus.
  • Valid driver's license is a plus.
