In this role, you will collaborate closely with our Finance Department and Business Analyst, gaining hands-on experience in financial data management and business operations. Your primary responsibilities will include
Data entry & processing; Inputting and managing financial data related to invoice preparation (billing), repairs and maintaining orders, and accounts receivable. Invoice review & processing: Assisting with reviewing and centrally processing invoices to ensure accuracy and compliance. Cost & Rate Calculations: Computing costs, calculating rates for goods and services, and ensuring correct shipment pricing. Consolidated & Contract-Specific Invoicing: Supporting invoice consolidation, ensuring adherence to contract-specific billing requirements, and managing submissions through third-party online platforms. Business & Financial Analysis Support: Gaining exposure to financial reporting, data integrity checks, and system improvements.
What you will do day-to-day:
- Compile data, compute fees, and prepare invoices for billing purposes.
- Compile data supporting documents to verify the accuracy of billing data and to ensure receipt of the product ordered.
- Compare invoices against purchase orders and shipping and receiving documents to verify receipt of items ordered. Audit billing before release to ensure charges are correct and billed to the proper accounts and locations.
- Create and customize Excel-formatted reports on customer usage and spending.
- Comply with billing and accounting deadlines.
- Investigate and resolve billing discrepancies.
- Maintaining and updating database records in accordance with business practices.
- Data comparison and verification between systems.
- Data analysis, KPI monitoring, and insights.
- Weekly charging of customer credit cards and resolving any credit card issues (expired cards, declined cards).
- Responsible for entering maintenance orders (repairs and maintenance invoices) into the system and sending them to A/P for payment.
- Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
- Send out invoices to customers and/or submit them through online submission portals.
- Other related duties as required or assigned.
What you need to succeed:
Education
- High School Diploma or GED required.
Experience
- 1+ years’ data entry experience with a proven track record for accuracy.
Other Skills
- Advanced knowledge of MS Office and Excel required.
- Professional written and verbal communication skills.
- Understanding of Power Query, SQL, and data management best practices (Preferred).
- Knowledge of Python or other scripting languages (Preferred).
