Overview
DLH is seeking a Scientific Committee Coordinator to support the Network Coordinating Center (NCC) of the ACTG (Advancing Clinical Therapeutics Globally for HIV and Other Infections) program, one of the world's largest and longest-running clinical trials networks focused on HIV, other infectious diseases, and those living with them. This clinical trials network is led by some of the world’s leading experts in infectious disease and HIV/AIDS in the US and abroad. They are organized into several committees that oversee the coordination and operations of the domestic and international clinical research sites network (about 59 research sites) and plan and prioritize the numerous studies it conducts.
This position would be responsible for coordinating the work of the Tuberculosis Transformative Science Group and Women’s Health Collaborative Science Group. The coordinator’s work would contribute to the scientific agenda and mission of these committees.
Responsibilities
- Communicates effectively with committee leadership and members to coordinate and facilitate committee business, including identifying problems, suggesting effective strategies, and facilitating resolutions; and serves as a point of contact and advises the committee on responsibilities, actions, and timelines, seeking guidance from the supervisor and/or designee as needed.
- Demonstrates proficient knowledge of internal and external procedures, suggesting revisions to them as needed; contributes to standardization and consistency of support across committees; and serves as an internal resource for procedures with ease and accuracy.
- Proposes call/meeting agenda items to committee leadership. Schedules, coordinates, and participates in committee conference calls and in-person meetings.
- Drafts review/decision letters, conference call and meeting discussion summaries, and memoranda and communications that are timely, technically accurate, and grammatically correct for leadership review with minimal guidance and editing from the supervisor and/or designee.
- Distributes approved call and meeting summaries and correspondence as appropriate in a timely manner.
- Independently and easily tracks and facilitates completion of action items from calls and meetings, and ensures accomplishment.
- Coordinates, accurately generates, or creates necessary documents for timely distribution to the committee/others and develops, maintains, quality assures, and distributes standard or ad hoc reports with guidance from the supervisor and/or designee as needed, interacting with internal project staff as necessary to ensure accurate report information.
- Performs information management, including organization of electronic files and posting of documents to the project portal.
- Updates project website for membership rosters, resource documents, and status comments for study proposals (as needed); and maintenance of email distribution lists.
- Ensures the supervisor and/or designee is informed of all issues; identifies problems and proactively assists in their resolutions; and communicates with the supervisor and/or designee to identify committee leadership needs for information and materials, conducting research as needed.
- Identifies concerns of internal project staff that may need to be shared with committee leadership, consulting with the supervisor and/or designee as needed. Communicates independently and effectively with internal project staff to coordinate committee-related activities.
- Proposes ideas and actively participates in meetings and activities with other group members to improve the overall quality of work and work processes, and may lead to such meetings and activities.
- Provides backup and/or supplemental support for other similar committees, task areas, and projects as needed. May support more than one committee.
- May participate in mentoring and/or training of other staff at the same (or lower) grade level as needed.
- Facilitates committee membership elections.
- Travel to in-person meetings (up to 5%).
- May be assigned additional duties as required.
Qualifications
- Bachelor’s degree in a scientific field and a minimum of 2 years in a scientific or public health-related position
- Excellent verbal and written communication skills, including business and technical writing, and a solid command of Standard English grammar and mechanics
- Works well as part of a team and individually under moderate to minimal supervision
- Communicate effectively with fellow staff members and clients
- Exhibit a high degree of flexibility, organization, and attention to detail
- Demonstrates high competency in meeting deadlines for multiple and different tasks with competing priorities and a heavy workload
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and SharePoint.
- Strong preference for at least 1 year of experience directly related to clinical and/or public health research; familiarity with Smartsheet's
Basic Compensation: $68,000 - $90,000 yearly salary
The salary range listed reflects what we reasonably expect to pay for this role at the time of posting. The final offer may vary based on skills, experience, geographic location, market conditions, and internal equity. Additional compensation may include performance incentives and program-specific awards. We do not use salary history to determine compensation, in line with applicable law.
