Description:

We are seeking a dependable, highly organized, and self-motivated individual to join our dynamic team as a Special Projects & Administrative Coordinator. This role offers an excellent opportunity for someone who thrives in a structured environment. This role is focused on coordinating schedules for special projects, such as carpet cleaning, seat cleaning, etc., and providing administrative support. While training will be provided on our specific systems and processes, we value candidates who demonstrate initiative, professionalism, urgency, and a proactive approach to their responsibilities.

Benefits:

This position is eligible for a medical/dental/vision benefits package, 401K & vacation time.

Pay Rate: $21.00 per hour
Schedule: About 40 hours per week
Availability: Standard office hours, with the expectation to monitor communications for urgent updates as needed.

Responsibilities and Duties:

  • Scheduling: Coordinate project dates and times, ensuring the cleaning crews and the customer are always on the same page.
  • Customer Communication: Serve as a primary point of contact for clients via email and phone. You will be responsible for providing updates and answering questions professionally and promptly.
  • Vendor Communication: Establish and maintain open lines of communication with the crews. Responding to emergency situations in a timely and efficient manner.
  • Admin Support: Handle day-to-day administrative tasks as they arise, such as updating logs, filing digital paperwork, handling vendors, ensuring our project records are accurate.
  • Email Responsiveness: Keep an close eye on project-related emails, including occasional monitoring outside of standard office hours to ensure urgent customer needs are addressed.
  • Process Follow-through: Following established checklists and procedures to ensure every project is handled with the same high level of quality and safety. Adhering to company guidelines for employee relations, employee discipline and termination procedures.
  • Bilingual (English/Spanish) preferred but not required.
Requirements:

Knowledge, Skills and Abilities Required:

1. Strong commitment to high level service and quality standards.

2. Professional written and verbal communication skills.

3. Ability to plan, organize, direct and delegate.

4. Ability to work well under pressure and meet deadlines.

5. Strong sense of urgency. Understand that "on time" is the baseline for success and you take pride in your punctuality.

6. Experience managing employees.

7. Excellent Microsoft Office Skills (Word, PowerPoint, Excel and Outlook)

8. Proficient using basic digital tools (email, spreadsheets, and calendars). We can teach you the rest!

8. Must be able to pass a background check.

Bilingual (English/Spanish) preferred but not required.
