Role Overview:

The Vendor Manager (Expediting) is responsible for ensuring the timely and quality-compliant delivery of complex process plant equipment such as pressure vessels, heat exchangers, and skid packages used in the Oil & Gas industry. This role serves as a critical interface between vendors, procurement, production, engineering, quality, and clients to proactively identify risks, expedite materials and fabrication activities, and ensure adherence to project schedules and quality standards.
Key Responsibilities:
  • Monitor and expedite sub-vendors supplying raw materials (plates, forgings) and bought-out items such as valves, instrumentation, and critical components.
  • Track vendor production schedules and ensure alignment with project delivery milestones and critical path requirements.
  • Conduct or coordinate field expediting visits to vendor facilities to verify actual progress against planned schedules.
  • Follow up on engineering clarifications, material procurement status, free-issue materials (FIM), documentation readiness, packing lists, and dispatch readiness.
  • Identify supply chain risks such as material shortages, fabrication delays, or resource constraints, and implement recovery or mitigation plans.
  • Review fabrication drawings and guide vendors on optimal fabrication sequencing to ensure first-time-right execution.
Production Coordination (Internal & External):
  • Coordinate closely with internal production, procurement, and engineering teams to ensure fabrication milestones (cutting, forming, welding, NDT, testing, coating) are achieved as per schedule.
  • Ensure timely availability and progression of critical quality and engineering documentation, including ITPs, welding procedures, MDR documentation, and quality records, to avoid dispatch delays.
  • Monitor fabrication progress and proactively address any deviations from the project timeline.
Project Reporting & Stakeholder Management:
  • Provide regular progress updates and expediting reports to Project Engineering and Project Management teams, highlighting risks and mitigation plans.
  • Coordinate with third-party inspectors (TPI), client representatives, and quality teams to ensure inspections and hold points are completed without impacting schedules.
  • Maintain effective communication with vendors while ensuring accountability and adherence to commitments.
Logistics & Dispatch Coordination:
  • Ensure readiness for dispatch by coordinating completion of final documentation, inspection clearances, packing, and logistics arrangements.
  • Track transition of equipment from fabrication completion to shipment, ensuring timely vehicle placement and dispatch.
  • Support project close-out activities by ensuring completeness of vendor documentation and delivery records.
Required Qualifications & Experience:
  • Experience: 4 to 8 years of relevant experience in vendor expediting, vendor management, or production coordination within the fabrication of process plant equipment for Oil & Gas, petrochemical, or related industries.
  • Education: Degree or Diploma in Mechanical, Production, Fabrication Engineering, or a related discipline.
  • Industry Exposure: Hands-on experience with fabrication of pressure vessels, heat exchangers, structural skids, or similar engineered equipment.
  • Technical Knowledge: Strong understanding of the complete fabrication lifecycle: Engineering Procurement Fabrication Testing (Hydro/Pneumatic) Coating Dispatch.
  • Project & Planning Skills: Ability to interpret production schedules and project plans; familiarity with MS Project or Primavera P6 is an advantage.
