About the Role:

The Billing and Collections Coordinator plays a critical role in managing the financial transactions between the company and its clients, ensuring accurate and timely billing processes. This position is responsible for overseeing the entire billing cycle, from invoice generation to payment collection, while maintaining clear communication with customers regarding their accounts. The coordinator will work closely with internal departments such as sales, finance, and customer service to resolve billing discrepancies and improve collection strategies. By maintaining detailed records and monitoring accounts receivable, the role helps optimize cash flow and supports the company’s financial health. Ultimately, the Billing and Collections Coordinator ensures that revenue is accurately recorded and collected, contributing to the organization’s operational efficiency and financial stability.

Minimum Qualifications:

  • High school diploma or equivalent; associate degree or higher in accounting, finance, or a related field preferred.
  • At least 2 years of experience in billing, collections, or accounts receivable roles.
  • Proficiency with accounting software and Microsoft Office Suite, especially Excel.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication skills, both written and verbal, to interact effectively with clients and internal teams.

Preferred Qualifications:

  • Bachelor’s degree in accounting, finance, business administration, or a related discipline.
  • Experience with ERP systems such as SAP, Oracle, or NetSuite.
  • Knowledge of relevant financial regulations and compliance standards.
  • Demonstrated ability to handle high-volume billing and collections in a fast-paced environment.
  • Certification in credit and collections or related professional credentials.

Responsibilities:

  • Generate and distribute accurate invoices to clients in a timely manner according to contractual agreements and company policies.
  • Monitor accounts receivable and follow up on overdue payments through phone calls, emails, and written correspondence.
  • Collaborate with sales and customer service teams to resolve billing disputes and discrepancies promptly and professionally.
  • Maintain detailed records of billing activities, payment statuses, and collection efforts using accounting software and spreadsheets.
  • Prepare regular reports on billing and collections performance for management review and assist with month-end and year-end financial closing processes.

The Billing and Collections Coordinator uses strong organizational and analytical skills daily to manage multiple client accounts and ensure billing accuracy. Communication skills are essential for negotiating payment plans and resolving disputes with customers while maintaining positive relationships. Proficiency in accounting software and Excel enables efficient tracking of invoices, payments, and aging reports, which supports timely collections and accurate financial reporting. Problem-solving skills help identify and address discrepancies or delays in payment, improving overall cash flow. Additionally, knowledge of financial regulations ensures compliance and reduces risk during billing and collection activities.
