Job Title: Front Desk Administrator
Location: Orlando, FL
Department: Human Resources
Reports To: Human Resources Business Partner
FLSA Status: Non-Exempt
Summary: Assist visitors and handle inquiries on the phone and face-to-face, provide information regarding the organization to the public, clients, customers, and employees.
Essential Functions:
- Answers multi line-telephone system in a professional manner.
- Transfers calls accordingly and takes messages when necessary.
- Greets employees, visitors, and clients, with a warm, polite smile or greeting.
- Monitors visitors’ access and maintains security awareness by making sure all visitors sign-in and are provided with a visitor’s badge.
- Order office supplies as needed, distributes office supplies upon arrival, and ensures the supply cabinet is well stocked.
- Check, sort, and distribute incoming mail daily.
- Assists HR Department with clerical and event duties.
- Order supplies as needed.
- Maintains a clean and organized reception area.
- Maintains the supply room and kitchen area to ensure they are stocked and maintained.
- Orders and sets-up catering; reconciliation of direct billing.
- Assist with shipping labels, package mailings and distribution of packages.
- General office duties (printing and scanning)
- Performs other duties as assigned.

Qualification, Experience & Skills:
- High School Diploma required. Associates preferred.
- 3 years of administrative, clerical, and planning experience
- Previous experience with reconciling expense reports and catering invoices
- Bilingual preferred.
- 2-year catering sales experience.
- Ability to prioritize tasks and meet time requirements.
- Event coordinator experience preferred.
Mental Requirements:
- Basic math skills
- Good judgement
- Excellent written and verbal communication skills required.
Computer Skills:
- Knowledge and experience with Internet.
- Microsoft Office including Word, Excel, PowerPoint, and Outlook.
Physical Demands:
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, use hands and fingers to operate a computer, keyboard, telephone, copy machine/printer, and other tasks.
- Ability to sit at a computer terminal for an extended period.
- Specific vision abilities required by this job include close vision requirements due to computer work
- Ability to push and pull carts, move boxes with moderate lifting up to 50 pounds.
Work Environment:
- Moderate noise (i.e., business offices with computers, phones, printers, and overhead lights).
- Ability to work in a confined office or open cubicle environment
