Job PurposeThe HCIS Supervisor is responsible for supervising the operation, maintenance, and continuous improvement of the Human Capital Information System (HCIS) to support HR and business operations effectively. This role bridges HR functions, IT, and system vendors, ensuring system reliability, data accuracy, process automation, and optimal utilization across the organization.
Main Responsibilities1. System Administration & Maintenance- Supervise daily HCIS operations including employee master data, payroll interface, time & attendance, recruitment, and performance modules.
- Ensure system stability, data integrity, access security, and compliance with internal controls.
- Coordinate with IT and system vendors for issue resolution, upgrades, patches, and maintenance activities.
- Review and analyze HR business processes and translate them into system workflows and automation solutions.
- Identify gaps and recommend system improvements to enhance efficiency and data accuracy.
- Support end-to-end implementation of new modules, enhancements, or integrations (e.g. payroll, time management, recruitment modules).
- Ensure accuracy, consistency, and compliance of HR master data across all modules.
- Oversee standard and ad-hoc HRIS reporting (headcount, turnover, attendance, manpower cost, etc.).
- Establish and monitor HR data governance, validation, and control mechanisms.
- Provide level 2/3 support for HR system users and stakeholders.
- Develop user manuals, SOPs, and training materials to support system adoption.
- Conduct periodic training sessions for HR users and key stakeholders.
- Manage communication and coordination with HCIS system vendors and internal IT teams.
- Support and oversee HCIS-related projects such as system upgrades, rollout, or module implementation.
- Monitor project timelines, deliverables, UAT, and documentation.
- Ensure HCIS processes align with labor regulations, company policies, and data protection standards.
- Support internal and external audits by providing system logs, documentation, and required data reports.
Bachelor’s degree in Information Systems, Information Technology, Human Resources, or related field.
ExperienceMinimum 7–10 years of experience in HRIS / HCIS or HR Technology environment.
Experience in managing or supervising a small team is highly preferred.
Key Skills & CompetenciesTechnical Skills- Hands-on experience in HRIS platforms: SAP SuccessFactors, Oracle HCM, Workday, Talenta, Mekari, AKRIVIA HCM, etc.
- Strong understanding of HR business processes (Hire-to-Retire).
- System integration, data management, and reporting tools (Excel, Power BI, SQL).
- Knowledge of system security, role-based access, and data privacy.
