Position Summary:
The Intake Supervisor is a frontline leader within the Operations department who directs the full intake lifecycle at EMC Behavioral Health. Serving as both a high-level practitioner and a hands-on team lead, this role ensures a seamless, compliant, and client-centered onboarding experience. The Intake Supervisor manages day-to-day operations, guides and supports the Intake Specialists, monitors key performance indicators (KPIs), and serves as the primary escalation point for complex cases.
Team Leadership & Staff Oversight:
Lead the Intake Specialist team by providing daily guidance, prioritizing tasks across sites, and overseeing workload distribution through daily meetings.
Provide coaching and 1:1 support to staff, identifying performance gaps to assist the Operations Manager.
Monitor staff performance metrics—including referral volumes and turnaround times—and report findings to management.
Escalate high-priority cases and coordinate team coverage to ensure uninterrupted service.
Client Engagement & Intake Processing:
Act as the primary point of contact for clients, referral sources, and community partners.
Oversee intake assessments, verifying demographics, insurance, and clinical history.
Triage client needs based on urgency and capacity to ensure appropriate care routing.
Manage client onboarding, educating patients on policies and ensuring HIPAA-compliant documentation.
Maintain audit-ready clinical records by integrating intake data into EHR and CMBHS platforms.
Insurance Verification, Authorization & Eligibility:
Verify Medicaid and MCO eligibility for all new clients to ensure active coverage before service.
Coordinate the submission and tracking of prior authorization requests for service codes.
Provide private insurance clients with accurate cost estimates, including deductibles and copays.
Resolve eligibility errors and denials by partnering with billing and insurance payers.
Appointment & Schedule Management:
Schedule intakes by matching clients with clinicians based on needs, insurance, and location.
Optimize productivity by streamlining workflows to minimize wait times and fill open slots.
Manage all intake communications and outreach to ensure successful client onboarding.
Analyze no-show trends with management to improve scheduling and cancellation protocols.
Referral Coordination & Community Navigation:
Align service placements with intake findings, diagnoses, and authorizations.
Facilitate referrals to community resources and specialty providers when needs exceed internal scope.
Maintain expertise in community partnerships, DFPS protocols, and MCO referral pathways.
Liaise with DFPS and schools to synchronize scheduling and ensure continuity of care.
Represent the organization at external meetings and outreach events to strengthen partnerships.
Administrative & Operational Support:
Lead training for new Intake Specialists on CRM/EHR workflows, HIPAA, and communication standards.
Administer ADHD testing and manage benefit-related documentation under clinical guidance.
Oversee the lifecycle of client records and manage medical records requests per HIPAA standards.
Track and report monthly intake KPIs to leadership to provide actionable efficiency data.
Collaborate on the refinement of intake policies, SOPs, and workflow optimizations.
Perform other duties as assigned and aligned with this role.
Preferred Qualifications:Education: Bachelor’s in Social Work, Psychology, Healthcare Administration, or a related human servicesExperience: At least 2 years of lead, senior, or team coordination experience. Experience working with Texas Medicaid (TMHP), managed care organizations (MCOs), prior authorization processes, and CMBHS. Experience working with Salesforce referral to client conversion workflow.Knowledge: Familiarity with DFPS coordination and community resource navigation preferred.
