MAIN FOCUS: Provide administrative support to the Annual Giving team by managing constituent data in Raiser's Edge, coordinating direct marketing efforts, executing donor mailings, and reporting findings monthly.

LOCATION: Palo Alto, CA (hybrid); the successful candidate for this role will be based in the Bay.

WHAT YOU'LL DO...

As the Senior Development Associate, you will provide dynamic administrative and programmatic support to the Annual Giving team. Your responsibilities include project management, event planning, relationship building with external partners, database management (Raiser’s Edge), list pulls and reviews, ongoing metric reporting and more. You will report to the Associate Director, Annual Giving.
The compensation range for this role is between $34.50-$37.50 per hour.

YOU'LL BE RESPONSIBLE FOR...

Administrative and Program Management (~60%)
Ambassadors for LPCH
  • Support and execute membership events, including volunteer opportunities, educational sessions, and the annual signature fundraiser.
  • Coordinate monthly board meetings and occasional committee meetings.
  • Maintain membership data in Raiser’s Edge.
  • Develop and manage digital communications including social media posts, email newsletters, web pages, and e-vites.
  • Handle mailings: creation, stuffing, addressing, and tracking.
  • Keep event registration and donation pages updated in the Classy module.
  • Strategic partner in ideating new approaches, procedures, and processes to improve efficiency and impact of donor program.
Circles of Leadership Giving Societies
  • Manage donor lists for giving societies and assist with metric tracking and renewal strategies.
  • Update COL attributes weekly to ensure proper donor categorization.
  • Create biweekly reports highlighting significant metrics for leadership.
Stewardship
  • Help execute the bi-annual stewardship mailing for Circle of Leadership donors ($1,000-$25,000).
  • Coordinate, format, and execute mailings to prospects and donors, including solicitation letters and stewardship pieces.
  • Produce letters to accompany stewardship reports and communications.
  • Maintain stewardship schedules and project objectives.
    1. Coordinate review from multiple Foundation teams.
  • Assist with stewardship events, including the development of invitation lists.
Annual Giving Team Support
  • Schedule meetings in Outlook on behalf of department, field officers, and/or teammates on Annual Giving team.
  • Manage team dashboards and tasks in Monday.com to ensure timely project completion.
  • Monitor Annual Giving shared email inboxes and forward/respond to correspondence in a timely fashion.
  • Upload published content into Merlin digital asset management system.
  • Support Ambassadors, Community Fundraising, Auxiliary, and field events as needed, including tabling, event registration, set-up and breakdown, etc.
Portfolio and Database Management (~40%)
  • Draft and/or send donor correspondence, and other documents as needed.
  • Ensure strategic donor engagement and solicitation by reviewing with gift officers their donors listed to receive mailings and event invites from other teams.
  • Pull thank you call logs weekly, ensuring donors are thanked for their gifts in a timely manner.
  • Use the Foundation’s CRM database to retrieve and update information about engagement with prospects and donors, request assignments, and generate reports.
  • Track and report on funds and gifts.
  • Provide support to Annual Giving field officers for data tracking and entry into Raiser’s Edge on their behalf.
  • Manage post-event data entry and upload participation data into Raiser’s Edge.

YOU MUST HAVE...
  • Associate or Bachelor’s Degree or equivalent work experience
  • 2+ years directly related work experience, including experience in a support role
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Regular and predictable attendance. Flexibility to work evenings and weekends on occasion and to travel within the Bay Area. Access to reliable transportation.
  • A genuine interest in working in a nonprofit environment, a strong desire to work in a development environment.

IT'S AN ADDED PLUS IF YOU HAVE EXPERIENCE WITH...
  • Prior experience supporting multiple individuals.
  • Knowledge of constituent relationship management database systems (Raiser’s Edge).
  • Advanced online research capabilities.
  • Basic graphic design capabilities (using Canva.com, Adobe Photoshop, or comparable tool).

  • Adaptability and Flexibility: Ability to take initiative, work independently in a team environment, and be adaptable in the face of changing priorities.
  • Program Manager Who Operates Strategically and Persistently: Ability to support multiple programs and projects at once including supporting the execution and experience of multiple stakeholders. Ability to prioritize and complete assignments in a timely manner. Possesses a high attention to detail and produces high-quality work consistently.
  • Relationship Builder and Clear Communicator: Excellent interpersonal skills and ability to communicate and work collaboratively with diverse population groups (constituents, physicians, faculty, staff, vendors, volunteers etc.).
