About This Position

Treatment Plan Coordinator - Full Time

The Treatment Plan Coordinator is a specialized administrative role within a single dental practice, responsible for supporting patients through the treatment planning and acceptance process. This role focuses on explaining recommended treatment plans, coordinating financial and insurance information, and supporting scheduling to ensure patients feel informed and confident in their care decisions. The Treatment Plan Coordinator works closely with providers, front-office staff, and the Office Manager to ensure accurate documentation, clear communication, and a consistent patient experience.

Key ResponsibilitiesPatient Care & Communication
  • Present dental treatment plans in a clear, professional, and compassionate manner.
  • Educate patients on recommended procedures, timelines, and expected outcomes.
  • Serve as a primary point of contact for patient questions related to treatment plans.

Financial Coordination
  • Prepare and review treatment estimates for proposed dental services.
  • Verify insurance benefits related to treatment plans and explain coverage to patients.
  • Discuss payment options and assist with setting up payment arrangements as applicable.

Scheduling & Coordination
  • Coordinate treatment scheduling with providers and front-office staff.
  • Track case acceptance and follow up with patients regarding pending treatment plans.
  • Support completion of treatment plans through proactive communication and follow-up.

Documentation & Systems
  • Maintain accurate treatment plan and financial documentation in practice management systems.
  • Ensure treatment plans are complete and properly documented prior to scheduling.
  • Maintain confidentiality and compliance with HIPAA and company policies.

Qualifications

  • Previous experience in a dental or healthcare office environment preferred.
  • Knowledge of dental terminology, procedures, and insurance processes.
  • Strong interpersonal and communication skills with a patient-first mindset.
  • Proficiency with dental practice management software and Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced environment.
