Position Summary:
The HIRE360 Program Coordinator supports the day-to-day operations and participant-facing activities of HIRE360's workforce development programs across the Construction, Utilities, and Service sectors. Working under the direction of the Manager of Workforce Programs, this role assists with program coordination, administrative tasks, data entry, and participant support for HIRE360's Apprenticeship Readiness, Industry-Led Training, and Tutoring programs.
Responsibilities (Essential Duties and Responsibilities):
  • Support the coordination and delivery of workforce development programs including scheduling, logistics, and on-site assistance for training classes and program activities.
  • Perform general administrative duties, including maintaining efficient operating and documentation procedures, compliant program files, attendance tracking, and credentials.
  • Enter data collection, entry, and quality control within internal and/or external databases and reporting systems.
  • Assist in preparing programmatic and construction-related reports in coordination with the Program Manager, Manager of Workforce Programs, or other team members.
  • Provide light case management support including participant intake, assessment, referrals, follow-up, and data entry.
  • Assist Candidate Support Advisors (CSAs) and candidates in understanding program requirements, expectations, and next steps.
  • Assist with recruitment and outreach activities including orientations, information sessions, outreach events, and community-based recruitment activities.
  • Ensure candidates receive accurate information regarding eligibility, enrollment, and program opportunities.
  • Assist with FSET/SNAP E&T program support, specifically documentation and compliance tasks.
  • Follow and help maintain established processes for referrals, candidate tracking, and apprenticeship placement and job placement documentation.
Qualifications
  • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
  • Strong communication skills, including professionalism with prospective and current candidates, partners, and stakeholders.
  • Ability to present programmatic information clearly to individuals and small groups.
  • Basic understanding of workforce development, training programs, or human services.
  • Knowledge and experience providing participant support, including assessment, guidance, referrals, follow-up, and data entry.
  • Proficiency in Microsoft Office and the ability to learn a CRM system (Salesforce)
  • Strong attention to detail and data accuracy
  • Collaborative mindset that can execute established processes and escalate programmatic risks.
Preferred
  • Two or more years of experience in workforce development, education, training programs, social services, or related fields.
  • Prior experience with Salesforce or similar CRM platform is preferred.
  • Experience working with diverse populations
  • Familiarity with union apprenticeships, building trades, and industry-led training models.
  • Case management/candidate advising support experience
  • Post-secondary education preferred
Physical Demands and Work Environment
  • Talking in-person/on the phone consistently.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Stand and lift up to 20 pounds to stock office supplies
  • Frequently move from room to room to accommodate guests
  • Requires reliable transportation including state mandated insurance.
Travel
  • Significant travel within the Chicago area, in addition to Joliet, Kankakee, Aurora, Waukegan and Rockford and other locations across Northern Illinois.
