About This Position
Job Details:
Assist the Director of Financial Affairs with managing client accounts and financial activities. Prepare reports summarizing and forecasting client activity, including statements of financial position, activities, and cash flows. Support the preparation of organizational budgets and manage business office functions related to client accounts.
Key Responsibilities:
• Maintain the structure and integrity of student account systems, including creating accounts and periodic system utilities.
• Record, classify, and summarize client financial transactions in accordance with GAAP.
• Manage month-end and year-end closing requirements for student accounts, including journal entries and balance validations.
• Oversee revenue recognition reporting and compliance requirements for student accounts.
• Manage cash flow for student accounts, including cash management and forecasting.
• Prepare timely financial statements and management reports for student accounts, analyzing and interpreting financial data for leadership.
• Maintain fixed asset ledgers and depreciation schedules.
• Maintain the general ledger: ensure proper coding and recording of the accounting transactions; perform account analysis to ensure that journal entries and balances are correct.
• Maintain detailed supporting documentation for financial information.
• Align general ledger accounting practices to support budgeting and forecasting
• Review period-end results and prepare variance explanations.
• Coordinate external audits for accounts, including preparing audit schedules and facilitating audit requests.
• Support the annual budget process for accounts.
• Develop and monitor accounting and internal control policies and systems for accounts.
• Ensure compliance with applicable regulations and laws for accounts.
• Perform other duties as assigned.
• Direct and manage the purchasing activities of the university; to include but not be limited to, review of planned orders, create requisitions for purchased items, confirms system lead times, delivery dates and costs, inspection of merchandise or products to determine quality/value and authorize payment of invoices and return of merchandise.
• Receiving, processing, documenting and executing purchases and procurements according to the Hallmark University policies and procedures. Ensure compliance with federal, state and local laws and regulations; maintain necessary documentation for proper invoicing and billing.
• Book inventory management – process book/tool orders, maintain safety stock, calculate monthly inventory, process returns and credits, negotiate annual forward buys, update ISBN revisions and price lists and maintain all onsite and virtual inventories.
• Provide accurate and timely supplier negotiations and contracting based on defined category criteria (i.e. cost, quality, productivity, service).
• Develop project plans to monitor and track progress and implement purchasing procedures to process bids and purchase orders.
• Analyzes, evaluates, and identifies preferred vendors based on specific performance criteria.
• Reviews, updates, and maintains purchase orders until they are closed.
• Participate in the on-going development of efficient processes for an effective purchasing system
Requirements:Qualifications:
Required:
• Bachelor’s degree in accounting or related field
• Working knowledge of GAAP theory and practical application
• 3+ years of experience as an accounting manager or related field
• 3+ years of experience in general ledger accounting, or similar.
• Intermediate or advanced Microsoft Excel skills
• Excellent mathematical and computational skills
• Ability to interact effectively with employees and students.
