Warehouse Coordinator at Goodmerch Supply – Honolulu, Hawaii

Job Summary

The Warehouse Coordinator oversees the day-to-day operations of the Goodmerch Supply warehouse. Responsibilities include driving and managing the following - receiving, shipping, fulfillment inventory, samples, coordinating deliveries, maintaining quality control, and ensures efficient workflows. This role requires proactive leadership to manage and train warehouse staff, communicate with team members, clients, shipping companies, and uphold operational excellence.

Key Responsibilities

Warehouse Operations

• Tracking: Track rush orders in Asana and run shipped reports in Common Sku for all incoming orders.
• Receiving: Manage receiving processes for HAC, SA, UPS, FedEx, USPS, etc., for both warehouse and office locations.
• Order Check-In: Oversee the checking in and documenting of all received orders using Common Sku, Asana, and Slack. This includes quality control checks including photos, quantity verification, and detailed descriptions of discrepancies.
• Communication: Communicates with sales & production/orders teams for special deliveries, rush orders, and large orders.
• Record Keeping: Maintains files of delivery/pick up logs for 6 months. Keeps track of # of cartons received in the warehouse and deliveries made.
• Bikini Bird: Assist Bikini Bird when requested by your manager

Delivery Management

• Scheduling: Create and manage the delivery schedule & log, ensuring timely and accurate deliveries. Paying close attention to hard in hand date orders
• Documentation: Manage printing of decorator PO’s, and mock-ups before delivery.

Samples

• Coordination: Communicate with the office regarding the delivery of samples and ensure they are tagged for return. Utilize Asana and Commonsku for tracking

Fulfillment & Maintenance

• Fulfillment: Oversee the fulfillment process, particularly for high-end gifting.
• Inventory Control: Manage and monitor inventory levels, including conducting regular audits of fulfillment inventory.
• Stuck Inventory: Send bi-monthly notices to all sales reps with a spreadsheet of stuck inventory and follow up for responses
• Vehicle Upkeep: Maintain delivery van to ensure it is in optimal working condition and appearance.
• Warehouse Maintenance: Ensure the warehouse is clean and organized. Order any supplies needed through the office.

Relationships and Training

• Relationship Management: Build and maintain strong relationships with delivery personnel. UPS, FedEx USPS, HAC, SA etc
• Training: Train new warehouse assistants to ensure they understand their roles and responsibilities.

Client Interaction & Driving

• Driving: Represent our core values by courteous safe and legal driving.
• Delivery: Deliver orders to our clients representing our company values in the best possible way.
• Special Events: Assist teams Goodmerch and Bikini Bird with special events including errands, driving and set up.
• Client Pick-Up: Manage and coordinate client pick-up processes, ensuring a seamless experience.
