Position Summary
The Policy Administrator plays a pivotal role in effective administration, oversight, and management of policy waivers and related administrative actions across the organization. Operating under the direction of the J1 and the J1 Chief, this position is responsible for ensuring the seamless execution of policy extensions, waivers, and modifications while providing critical support to advisor teams. The Policy Administrator fosters organizational compliance and efficiency by evaluating requests, maintaining accurate records, enhancing cross-departmental communication, and supporting continuous policy improvement. This role is vital to the organizations operational success, employee satisfaction, and long-term strategic policy planning.
Key Responsibilities
- Waiver and Extension Administration:
Evaluate, process, and document policy waiver and extension requests, ensuring all submissions are complete, justified, and in compliance with relevant regulations and organizational directives. - Recordkeeping:
Establish, update, and maintain comprehensive records of all policy waivers, extensions, and administrative actions to facilitate audits, reporting, and effective information retrieval. - Advisor Team Support:
Serve as the primary administrative support to advisor teams, responding to inquiries and assisting with the preparation and submission of policy-related documentation. - Cross-Departmental Coordination:
Liaise with key stakeholders, including HR, legal, compliance, and operational teamsto gather input, clarify requirements, and communicate decisions related to policy waivers and changes. - Strategic Policy Implementation:
Assist in developing and refining administrative strategies and processes for policy modifications based on evolving organizational needs, guidance from the J1, and best practices. - Compliance Monitoring:
Ensure all policy waivers and extensions strictly adhere to established procedures and governance frameworks, and highlight any trends, risks, or areas for improvement. - Continuous Process Improvement:
Proactively identify bottlenecks and opportunities to enhance the overall efficiency and effectiveness of the policy administration process. - Reporting:
Prepare and submit regular activity reports and summary briefs to leadership, providing updates on waiver status, trends, processing times, and recommendations for systemic improvement.
Required Qualifications
- Bachelors degree in public administration, Policy, Human Resources, Business, or a related field, or equivalent experience.
- Minimum of 2 years experience in policy administration, compliance, or a relevant administrative support role.
- Proficiency in using office software applications and digital recordkeeping systems.
- Demonstrated excellence in organization, attention to detail, and the management of sensitive or confidential information.
- Strong oral and written communication skills with the ability to convey policy requirements and decisions clearly to diverse audiences.
- Experience working collaboratively within a multidisciplinary team environment.
- Proven track record in managing administrative workflows efficiently and accurately.
Preferred Qualifications
- Experience supporting military, government, or large organizational policy processes.
- Familiarity with records management best practices and compliance regulations.
- Knowledge of HR systems or databases.
- Advanced skills in project management or process improvement methodologies.
- Prior experience coordinating with cross-functional leadership teams.
