About This Position
The Practice Manager is responsible for overseeing administrative operations supporting Laurel Hill Center’s behavioral health programs. This includes client intake, communication workflows, scheduling, insurance verification, reporting, and general administrative support for clinicians. This role does not perform clinical functions and is aligned with Oregon administrative requirements under OAR 309-019-0130 regarding personnel documentation, confidentiality, and non-clinical staff responsibilities. This position is primarily based in the reception area and is expected to remain there for at least 50% of the workday to ensure consistent coverage.
Essential Functions:
- Practice Administration (80%)
- Ensure response to client phone calls and emails regarding scheduling, insurance coverage, or other administrative topics
- Coordinate demographic intake processes and ensure required documentation is collected, including verifying insurance coverage
- Maintain program waitlists and conduct outreach when openings occur
- Schedule, reschedule, and cancel appointments; maintain accurate clinician calendars
- Implement and maintain procedures for rehab participation
- Administer procedures for administrative closures in coordination with the Director of Behavioral Health
- Support clinicians and participate in daily stand-up meetings
- Coordinate intern program
- Monitor and distribute emails received at info@laurel.org
- Publish simple updates or communications using provided content
- Determine and implement requirements for billing commercial insurance and Medicare Advantage in coordination with the Billing Coordinator
- Participate in the Quality Assurance Committee
- Maintain office policies and procedures; provide orientation to new staff and volunteers
- Coordinate various administrative functions (such as purchasing, data tracking, supply distributions, …) with Office Assistants, including training and monitoring results
- Staff Supervision (20%)
- Supervise administrative support staff, including hiring and training, conducting annual performance appraisals, following policies and procedures, maintaining a healthy and safe working environment, and completing corrective actions including work plans and termination recommendations

Knowledge and Abilities:
- Excellent communication skills, including public relations and interpersonal interactions
- Knowledge of trauma-informed services and systems of care
- Ability to exercise discretion and independent judgment in all areas of job performance including adherence to appropriate relationship boundaries and HIPAA confidentiality
- Ability to communicate appropriately with staff and clients, including individuals with SMI symptoms
- Ability to effectively engage clients by telephone and in person
- Ability to use mobile technology, computers, and standard office equipment and software
- Ability to work independently, including prioritizing tasks and monitoring errors
- Ability to monitor for accuracy, deadlines, and relevance
- Ability and willingness to fill in where needed to keep operations running
- Knowledge of HIPAA confidentiality requirements as they relate to health care and personal health information
- Ability to remain in compliance with policies, procedures, regulations, and standards
- Ability to offer understanding and respond effectively and with sensitivity to special populations, such as those defined by race, ethnicity, language, age, sex, sexual orientation, economic standing, disability, migrant and seasonal worker status, homelessness, people living with HIV/AIDS, and others

Minimum Requirements
- 3 years of progressive experience in a medical, behavioral health, or clinical setting
- Current and valid Oregon driver’s license
- Successful completion of background and fingerprint check
- Successful urinalysis drug screen
