About This Position

Reports to: Senior Manager, Construction Initiatives

Location: Remote

POSITION SUMMARY:

The Coordinator, Construction Initiatives is an integral member of a collaborative interdisciplinary team and provides support for program planning, development, implementation, training, and other initiatives. Coordinates and supports efforts to improve program delivery to national and chapter colleagues. The Coordinator is also responsible for organizing and streamlining critical aspects of the construction initiative team's communications.

RESPONSIBILITIES:

  • Serves as point of contact for centralized program email systems and provides prompt responses to high volume of inquiries from a diverse constituency including the public, industry partners, staff and volunteers.
  • Provides support, coordination, and tracking of initiatives, programs, training, and technical assistance, performing a combination of tasks using a variety of software and computer systems, while always striving for maximum efficiency.
  • Coordinates and provides administrative support for conferences & meetings, including scheduling, setting up registration and event pages, managing promotional material and taking meeting minutes.
  • Updates content for programs, communications, departmental web pages, and other documents as needed based on input from the team.
  • Provides assistance and support at program events and activities as needed.
  • Utilizes and updates web‐based platforms (ex., Attendease, Monday.com, SharePoint) to coordinate and support critical work streams. Has the capacity to learn new systems and serve as the main data entry staff.
  • Ensures adherence to document retention and storage policies, including templates, policies, tools and partnership documents. Maintains organization of all project documents and resources.
  • Coordinates the contract review process and communicates with key staff to ensure a smooth process.
  • Serves on internal and external workgroups as directed.
  • In collaboration with Chapter Staff and partner organizations, tracks program attendees by audience.
  • Contributes to internal and external dialogue that advances our approach to delivering programs.
  • Actively collaborates within and across interdisciplinary teams, including teams, committees, and other efforts to support internal processes or goals, promote effective organizational culture, or build our public image and brand.

MINIMUM QUALIFICATIONS:

Education High School Diploma or GED

Experience and/or Training 1-3 years of relevant professional experience supporting a team and managing multiple work streams.

Licenses/Certificates n/a

Technology/Equipment Intermediate level of proficiency with MS Word, Excel, PowerPoint and SharePoint. Experience working in or ability to learn Monday.com.

PREFERRED QUALIFICATIONS:

Education Bachelor’s degree plus 3 years of relevant professional experience supporting a team and managing multiple work streams within cross-functional teams

Experience and/or Training Excellent organizational, interpersonal, diplomacy, critical thinking, verbal/written communication skills. Must be willing to coordinate multiple projects simultaneously while meeting deadlines. Proven ability to work in a collaborative environment and collaborate across multiple areas in order to contribute to the mission.

Licenses/Certificates n/a

Technology/Equipment Expert level of proficiency with MS Word Excel, PowerPoint and SharePoint. Introductory experience with Canva and Adobe Creative Suite. Experience working in or ability to learn Monday.com.

PHYSICAL AND MENTAL DEMANDS:

  • Ability to communicate via phone, email, and video conference on regular basis.
  • Ability to work at a computer for extended periods of time.
  • Ability to travel to meet the team at various parts of the Country throughout the year for large conferences and gatherings (COVID safety will be recognized).
  • Ability to lift and carry 10 pounds and manage luggage during travel.
  • While performing the duties of this job, the employee is frequently required to sit, talk and/or hear, and/or use hands to finger, handle, or touch objects, tools, or controls. The employee is occasionally required to stand, and/or walk. The employee must occasionally lift and/or move up to 10 pounds.   • Primarily remote with occasional in-person meetings and conference travel. Some evening and weekend work may be required.

  • Communicate virtually, via Zoom, Microsoft Teams, telephone.
  • Regularly work as part of a team.

SALARY AND BENEFITS:

Annual salary range: $48,000 - 52,000

22 PTO (vacation, sick, wellness and personal days) your first year of employment (5 additional days 2nd year)
