About This Position

Minimum Qualifications:
  • Bachelor's degree or equivalent in related field and three years of related experience; or
  • Associate's degree and five or more years of coordination experience.

Preferred Qualifications:
  • Prior clerkship program experience
  • Attention to detail and deadlines.

Job Summary:

To provide coordination of phases and activities associated with all surgery courses for medical students. Includes coordination of specific courses, support for course specific meetings, and coordination and education of community preceptors.

Job Duties:
  • Lead and manage the Medical Student Education Programs educational courses from 1st year to 4th year.
  • Organize student orientation; prepare evaluation packets and schedule meetings and testing.
  • Facilitates collection of student performance information, completed assignments and other data required for compliance with UTMB SOM policies.
  • Manage Blackboard sites for specific clinical-year courses managed by Office of Clinical Education, including posting syllabus and course materials.
  • Contacts students ahead of clerkship start to ensure all paperwork is complete to allow them to rotate, that out dates and other factors affecting call schedule are known, and students are informed of expectations, including orientation dates/times/places.
  • Assigns students to teams for clinical rotations, coordinates with anesthesia, medical examiner, faculty presenting didactics, one-on-one faculty meetings.
  • Collects evaluations, enters grade, calculates grades, and reviews grades with Director, posts grades in timely fashion on MyStar.
  • Keeps track of educational credits for all faculty and submits them into Power.
  • Communicates respectfully and effectively with students, faculty, School of Medicine personnel and other involved persons.
  • Effectively use UTMB computer systems required to perform key aspects of the job - MyStar, MyPOWER, Power BI, Outlook email.
  • Acts as liaison with Instruction Management Office, Registrar's office, Affirmative Action Education Development Office and Office of Regional Medical Education.
  • Performs any related duties required to maintain efficient operations of the residency programs.
  • Adheres to internal controls as established for department.
  • Performs related duties as required.
  • Proctor quizzes and exams, including NBME shelf exam and OSCE.


Salary Range:

Actual salary commensurate with experience or range if discussed and approved by hiring authority.
