Position Description: Keep the CEO and new business engine running smoothly. You'll split your time between executive support and driving the operational side of growth: prospecting, pipeline management, and making sure every presentation is pitch perfect.

- Executive Support to CEO and C-Suite: Handle calendar management, meeting prep and materials, travel coordination, expense tracking, correspondence
- Presentation & Marketing Support: Build and customize pitch decks, credentials presentations, RFP responses, and leave-behinds, making complex ideas look sharp and sellable
- Pipeline & Prospecting: Own lead management in HubSpot, research target companies, maintain prospect intelligence, track opportunities from first contact through close
- Follow-Up Discipline: Manage outreach cadences, ensure timely prospect responses, keep leads warm, never let an opportunity go cold
- Project Coordination: Keep new business initiatives moving, coordinate inputs from team members, manage timelines, push projects forward
- Marketing Operations: Maintain brand assets, update credentials materials, support campaign execution, coordinate event logistics
- Ambitious but humble: you're building toward something bigger, and no task is beneath you
- Exceptionally reliable: you deliver work that doesn't come back with redlines
- High judgment: you know what matters, when to escalate, and when to just handle it
- Discreet and trustworthy: you'll be close to sensitive decisions and information
- Versatile: equally comfortable in a strategy session and a spreadsheet
- 3-5 years of experience in marketing, agency, business development, or executive support roles
- Expert-level proficiency in Microsoft Office Suite, especially Excel (pivot tables, formulas, data analysis) and PowerPoint (storytelling through design)
- Co-Pilot proficiency or eagerness to master AI-powered productivity tools
- Strong working knowledge of HubSpot or similar CRM platforms (or willingness to learn them independently)
- Exceptional written and verbal communication skills
- Meticulous attention to detail with strong organizational and time management skills
- Proactive problem-solver who anticipates needs and takes initiative
- Comfortable managing confidential information with discretion
- Thrives in fast-paced, high-growth environments where priorities can shift quickly
