Camp Office Administrator at SAMUEL AND ALTHEA STROUM JEWISH COMMUNITY CENTER O – Mercer Island, Washington
About This Position
Position Summary:
Under the direction of the Camp Director, the Camp Office Administrator oversees the organization and efficiency of J Camp, assisting with paperwork, communication, and expenses.
Essential Duties and Responsibilities:
- Work closely with SJCC Account Services Manager to assist with camper enrollment, including but not limited to late registrations, charges and cancellations.
- Manage, track, and delegate staff responsibilities including but not limited to camper early pickups, late arrivals and transportation changes to ensure camper safety.
- Update and maintain camper information in the online camp management system under the direction of the Camp Director.
- Ensure the camp office remains clean, organized, and functional throughout the camp day.
- Assist in panning and running of weekly J Camp staff & leadership team meetings.
- Provide oversight of the ACA accreditation process, including reviewing written documentation and leading site visit on visit years.
- Assist with staff assignments and collaborate with team members to ensure appropriate staffing.
- Track enrollment and communicate with waitlisted families as spaces become available.
- Answer calls, respond to voicemails, and distribute messages to the appropriate party.
- Respond to emails sent to camp@sjcc.org in a timely manner. Forward and/or share messages with other Camp Leadership Team members as needed.
- Print and assemble all necessary information needed for group clipboards each week, including medical/allergy info, camper roster, schedules, and arrival/dismissal info.
- Ensure camper forms are received and reviewed before campers attend camp and contact families with overdue forms.
- Ensure camper shirts are sorted and delivered to new campers each Monday.
- Work with the J Camp Leadership team to order, organize, store, and regularly inventory supplies/equipment while maintaining equipment effectiveness.
- Track swim test results in collaboration with the Aquatics team.
- Immediately inform Camp director of any concerns that arise with campers, staff, parents/guardians, and/or community members.
- Communicate regularly with the Camp Director and other members of the Camp Leadership Team; share recommendations with the Camp Director on an ongoing basis.
- Act as a positive ambassador of the SJCC both inside and outside of the SJCC
- Follow all emergency procedures at the SJCC.
- Perform work on weekends and evenings as needed to meet applicable deadlines or scheduling needs.
- Other duties as assigned.
Supervisory Responsibilities:
This position has no supervisory responsibilities.
Requirements:Education/Experience: :Experience and/or training working with children preferred. Attendance at J Camp staff training is required unless approval to train separately is granted in writing by the Camp Director. Some experience in administrative support or customer service is preferred.
Other Skills: : Current CPR/AED and First Aid Certification for adults/infants/children, through an approved certifying body, or willingness to get certified.
Salary is $21.50 - $23.00 Per Hour based on experience
