Role Overview

Edconic is home to programs including Sotheby’s Institute of Art Summer Institute, Vogue Summer School, Vogue Winter Break, The School of The New York Times, WIRED Summer Lab, and Manchester City Sports Business School. Our Pre-College portfolio serves thousands of high school students each summer across multiple campuses in the U.S. and abroad, while our Collegiate programs provide industry-immersive study away opportunities for university students in the U.S. and abroad.

The Program Coordinator, Residential and Student Life (PC) supports the planning, coordination and delivery of residential experiences across our U.S. and abroad Pre-College programs. Reporting to the Program Manager of Residential and Student Life, the PC is responsible for helping to plan and implement residential logistics, student life activities, and on-site support systems. This role may be live-on during certain program periods and is central to ensuring a safe, inclusive, and high-quality residential experience for high school students.

The PC will support the Residential and Student Life team in:

  • Assist with coordination of residential housing and student life logistics
  • Planning and delivery of residential and co-curricular programming
  • Supporting student wellness and daily life in residential settings
  • Assisting with recruitment, training and support of seasonal staff
  • Engagement with internal teams and external vendors to ensure program success
  • Helping ensure a smooth and organized experience for students, staff, and families

This role is ideal for someone highly organized, student-focused, and experienced in residential or student life operations.

Essential Duties and Responsibilities

Specific duties and responsibilities include the following, but the individual will also be expected to perform all the necessary duties which are customarily performed by a person holding this position. Other duties may be assigned.

Program & Operations Support

  • Assist in the creation, implementation, and assessment of Residential and Student Life programs that foster student engagement, community building, and leadership development.
  • Maintain and refine systems for timely communication, tracking deliverables, and operational efficiency across program cycles.
  • Manage logistical planning for on- and off-site events including transportation, meals, materials, and accommodations.

Budget & Purchasing

  • Support the tracking and reconciliation of program-related expenses in collaboration with Finance and the Residential and Student Life department.
  • Ensure all purchases align with approved budgets and organizational procurement policies.
  • Maintain accurate documentation of all program purchases, receipts, and reconciliations.

Student Support & Community Wellness

  • Assist in the management of student welfare systems including pastoral care, mental health referrals, and wellness programming.
  • Serve as a resource for students and seasonal staff on residential concerns, interpersonal dynamics, and community standards.
  • Help create an inclusive and developmentally appropriate residential environment for students.

Staffing & Team Development

  • Collaborate on recruitment, hiring, and onboarding of seasonal residential staff in accordance with HR and budget guidelines.
  • Support training and leadership development efforts to ensure high-quality, student-centered service delivery.
  • Provide mentorship and coaching to temp staff and student leaders to foster a strong, supportive team culture.

Policy, Compliance & Risk Management

  • Assist in maintaining documentation on student conduct, emergency response, and residential policies.
  • Support efforts to uphold institutional, state, and federal guidelines, especially those related to minor safety and housing.
  • Participate in incident reporting and support the execution of risk management protocols.

Cross-Departmental Collaboration

  • Coordinate with departments including Academics, Operations, HR, Facilities, and Finance to ensure seamless program execution.
  • Participate in cross-functional planning and meetings to represent residential spaces and student needs.
  • Contribute to DEIB (Diversity, Equity, Inclusion & Belonging) initiatives that support a welcoming and affirming campus culture.

Qualifications & Experience

Education

  • A Bachelor’s degree in a relevant field is required.

Experience

  • 2+ years of Residential and Student Life experience, teaching, boarding school or programming with direct experience in relationship management.
  • Supervisory experience preferred.

Skills

  • Excellent verbal and written communication skills - able to communicate directly, concisely and/or diplomatically as required, knowing how, when and what to communicate.
  • PC skills, including demonstrated high proficiency with Microsoft Word, Excel, PowerPoint, Google Drive.
  • Strong organizational and administrative skills with the ability to anticipate, improvise, and adapt for optimal resolutions.
  • Outstanding interpersonal skills, work effectively on a team, maintain composure in stressful situations, and work under deadline pressures.

Work Environment & Requirements

  • Based in New York City (hybrid); in-person presence required during program delivery. With flexibility to support programs outside of New York and internationally as needed.
  • Ability to work extended hours, evenings, and weekends during peak program periods (January; May–August).
  • On-call responsibilities during program terms.
  • Domestic and occasional international travel may be required.
