About This Position
GENERAL SUMMARY
The Milk Bank Supervisor oversees all Intake Coordinators and Lactation Specialist providing regular supervision and support. The Supervisor will be responsible for ensuring all donor screenings are completed professionally, compliantly, comprehensively, and in alignment with CHKD policy and HMBANA Standards. The Supervisor will strategically plan for donor recruitment opportunities and will also manage the coordination of marketing events to include milk drives and milk depots. The Milk Bank Supervisor will work closely with the Lab Supervisor to ensure milk donation volumes meet or exceed processing and growing distribution needs. The Milk Bank Supervisor will oversee the scheduling, ongoing training, and assigned task and responsibilities of the Transportation Coordinator, Operations Coordinator, Milk Bank Assistant, and Lab Technician. The Milk Bank Supervisor will ensure that staff adhere to necessary food processing quality controls and the proprietary standards of HMBANA. The position will report to the Director and collaborate with the Lab Supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintains and meets the highest standards in quality and compliance for human milk banking.
- Works collaboratively in a leadership role with all milk banking staff to advance the organizational mission.
- Provides reporting of daily, weekly, and monthly benchmarks.
- Supports team to problem solve issues and liaise on challenging cases.
- Works with multidisciplinary team to manage audits, policies, sanitation standard operating procedures, and Food Safety Plan.
- Oversees the recruitment, hiring, scheduling and performance evaluations Milk Bank staff.
- Provides development and learning opportunities within the department.
- Works with the Lab Supervisor to set clear processing goals, keep schedules, and complete tasks on time.
- Oversees the operations of intake services, providing guidance, leadership, and direct support in all aspects of service provision.
- Assesses and evaluates donor screening and milk processing safety standards and compliance.
- Collaborates with Director and Medical Director to ensure timely delivery of all required screening records.
- Ensures that all electronic and hard case files and databases are maintained in accordance with policies and guidelines.
- Proactively communicates with coworkers to ensure awareness of progress and issues; recommending solutions when issues arise.
- Aids in the navigation of perishable transit delays and emergency processes to include inclement weather.
- Ensures positive experiences as it relates to customer service and experiences, tours, inspections, and marketing of operations.
- Delivers professional communication and updates to/from national accreditation association, auditors, the public, purchasing facilities, outpatient recipients, and donor families.
- Represents CHKD Milk Bank in meetings and events with both national and local partners, as well as community stakeholders.
- Contributes to the development of new projects, practices, and standards.
- Performs other duties as assigned.
LICENSES AND/OR CERTIFICATIONS
- Certified Lactation Counselor (CLC) or higher required.
- Current Good Manufacturing Practices (cGMP) training certificate required within 30 days of hire.
- Basic Hazard Analysis Critical Control Points (HACCP) training certificate required within 60 days of hire.
- Food Safety Manager training certificate required within 3 months of hire.
- Preventative Controls Qualified Individual (PCQI) training certificate required within 6 months of hire.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
- Bachelor’s degree in public administration, public health, health sciences, nutrition, or related field from an accredited college or university required.
- Minimum of five years related work experience with increasing levels of responsibility.
- Minimum of two years of supervisory experience.
- Experienced with human lactation, donor screening, HMBANA best practices, and milk banking standards.
- Experienced in Food Safety and Supplier Controls required.
- Experience in communications and non-profit management preferred.
- Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research and problem-solving purposes.
- Demonstrated success working and communicating effectively in a multi-cultural environment.
- Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.
- Experienced in auditing with meticulous attention to detail and accuracy.

WORKING CONDITIONS
Milk bank processing area with exposure to disinfecting chemicals, human biological secretions (expressed human milk), storage/handling/shipping of class 9 hazardous materials (dry ice), and intermittent exposure to high ambient heat during pasteurization (>100F) and extreme cold (-30C) freezers.
