About This Position

Position Overview:
The Commercial Relationship Assistant plays a crucial role in supporting the relationship management team within the banking and credit intermediation sector. This position is designed to enhance client satisfaction and retention by providing exceptional administrative and operational support. The Commercial Relationship Assistant will provide a high level of consistent service to our top commercial clients (retention & expansion). Will assist the Relationship Managers with many administrative tasks to allow them to focus more time on cultivating targeted prospects while expanding and retaining key commercial relationships. Serves as a stationary liaison between Relationship Managers, Clients, and all other areas of the bank.

Primary Duties:

  • Process commercial loans from credit approval through closing and funding
  • Review credit approvals and ensure loan documents reflect approved terms
  • Prepare and review commercial loan documentation including notes, mortgages/deeds of trust, guarantees, and UCC filings
  • Coordinate with relationship managers, borrowers, attorneys, and title companies to meet closing timelines
  • Order, review, and track third-party items such as title, flood, appraisals, and environmental reports
  • Track and clear all pre- and post-closing conditions
  • Ensure lien perfection and proper collateral documentation
  • Accurately set up loans in the core system and prepare funding authorizations
  • Maintain complete and well-documented loan files
  • Ensure compliance with bank policy and regulatory requirements (CIP/KYC, OFAC, flood, Reg O, etc.)
  • Identify discrepancies or exceptions and escalate appropriately
  • Support audits, loan reviews, and internal reporting
  • Manage multiple loans simultaneously while meeting deadlines

Administrative Support Duties:

  • Assisting clients with the process of “uploading” their financials into our commercial loan system. This could include scanning hard copies, gaining access to drop box types of systems, unlocking PDF’s, and assisting in unlocking credit bureaus
  • Preparing wires and other funding requirements when they need to be handled in the field.
  • Assist in managing calendars & emails for assigned bankers.
  • Coordinating meetings, client appointments, and other scheduling needs
  • Coordinating the onboarding for new clients
  • Being a “one call” solution to both clients and Relationship Managers with any customer service needs. This could include draw requests, making payments, answering billing questions, fulfillment requests, etc.

Technology Skills:

  • Proficient with CRM software, such as Laserpro, Sageworks and ActiveView
  • Comfort with technology such as Microsoft office (Excel, Word, Outlook), mobile services and online-banking services is a plus.

Education, Skills and Experience:

  • Minimum High school diploma or equivalent.
  • 2+ years of experience in commercial loan processing, loan operations or loan closing
  • Working knowledge of commercial loan documentation and collateral
  • Ability to interpret credit approvals and loan structures
  • Knowledge of bank products and services
  • Strong organizational abilities, which are essential for managing client documentation and scheduling meetings efficiently.
  • Excellent communication skills are necessary to facilitate clear interactions between clients and relationship managers, ensuring that all parties are informed and engaged.
  • Attention to detail is critical when preparing reports and maintaining accurate client records, as this directly impacts client satisfaction.

Preferred skills:

  • Experience with CRE, C&I, construction loans
  • Experience working with attorneys and title companies
  • Community or regional bank experience
  • Ability to work under deadline pressure
  • Professional discretion and confidentiality
