As a key member of the Project Management Office, you will provide essential coordination and organizational support to ensure projects run smoothly from early concept through execution. You will work closely with cross-functional teams, helping align stakeholders, track progress, and maintain clarity across complex initiatives. - Provide comprehensive administrative and organizational support to project managers and initiative owners across multiple teams
- Coordinate meetings, workshops, and working sessions, including preparing agendas, capturing notes, and tracking follow-up actions
- Maintain project documentation such as action logs, risk registers, timelines, and status updates to ensure transparency and alignment
- Support cross-functional coordination by tracking tasks, deadlines, and dependencies, and following up to ensure timely completion
- Facilitate communication between stakeholders, helping resolve blockers and escalating issues when needed
- Assist in early-stage planning by outlining scope, milestones, and resource needs prior to formal project approval
- Prepare executive summaries, reports, and presentation materials to support leadership decision-making
- Monitor project progress, identify risks or deviations, and ensure alignment with established processes and governance standards
- Organize and maintain shared documentation systems to ensure accessibility and consistency across teams
- High school diploma or equivalent required; associate degree in business, project management, or related field preferred
- Experience working in a cross-functional, matrixed, or fast-paced corporate environment
- Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills, with attention to clarity and detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Google Workspace is a plus
- Experience with project management tools (e.g., Jira, Asana, Smartsheet) or Agile methodologies is an advantage
- Familiarity with AI tools and their application in a project or PMO setting is a plus
- Detail-oriented mindset with strong follow-through and problem-solving abilities
- Ability to work effectively with stakeholders at all levels and maintain professionalism and confidentiality

- Competitive salary based on location, ranging approximately from $50,000 to $86,000
