About This Position
Position Summary:
The Specialty Clinic Office Coordinator facilitates the day-to-day management of practice operations and serves as a central point of communication within the clinic. This role coordinates clerical and front office activities, supports efficient patient flow, and helps lead the team in collaboration with the Operations Manager and Director.
The Office Coordinator manages financial records and daily charges, and serves as a liaison with the business office. This position is primarily responsible for patient access, insurance billing, prior authorizations (pre-certifications), and financial counseling for patient accounts.
Key Responsibilities:
- Coordinate and manage daily tasks for front office staff and support clinic operations
- Help lead and support the front office and clinical support team in collaboration with the Operations Manager and Director
- Schedule patients in accordance with established office procedures
- Obtain and verify pertinent patient information during check-in and check-out
- Perform all admission and discharge registration functions as required
- Maintain accurate patient records within Meditech and Allscripts systems
- Greet patients and visitors, assess needs, and direct them appropriately
- Serve as a patient liaison to support clinic flow and assist with documentation needs
- Review patient information forms for accuracy and completeness
- Maintain a clean, organized, and well-stocked front desk area
- Track and manage referral records; ensure referrals are scheduled in a timely manner and follow established processes
- Support coordination of surgical scheduling and ensure established workflows are followed
- Manage financial records and daily charges; serve as liaison with the business office
- Handle insurance billing, prior authorizations (pre-certifications), and financial counseling for patient accounts
- Perform additional duties as assigned by the Operations Manager and Director
Qualifications:
Must have a high school diploma or equivalent with at least one year of general medical office or hospital experience. Must have a general knowledge of medical terminology. Experience with coordination of scheduling and patient flow required. CPR certification preferred or ability to attain within three months probation period. Willingness to keep up with current Medicare, Medicaid and insurance regulations and attend necessary seminars and workshops.
