Position Title: Medical Education Coordinator

Position Overview:The Medical Education Coordinator is a highly administrative role responsible for supporting the day-to-day operations of the Medical Education team. This position provides direct administrative support to the Direct of Medical Education & Professional Relations, Manager of Medical Education and the broader team by coordinating logistics, sending communications, managing calendars, and maintaining trackers across all programs, and ensuring accurate and timely execution of internal and external activities.Essential Duties and Responsibilities:
  • Schedule Medical Education programs, meetings, and case observations by coordinating availability with consultants and internal teams
  • Schedule and launch virtual meetings including sending links, managing invites, and supporting basic troubleshooting as needed
  • Send and manage calendar holds and confirmations, ensuring all program details are accurate and up to date
  • Distribute program details, logistics emails, reminders, and general communications to consultants, attendees, and internal stakeholders
  • Serve as a primary administrative point of contact for scheduling and logistical inquiries
  • Coordinate HCP consultant logistics, including travel bookings, reimbursements, and required documentation
  • Coordinate travel arrangements, including flights, hotels, and ground transportation
  • Maintain program calendars and ensure all event details are current and communicated
  • Manage calendars for senior leadership, including scheduling meetings and updating invites as details change
  • Coordinate internal and external meetings, including sending invitations, tracking responses, and sharing agendas/materials
  • Draft and send routine email communications
  • Create and update marketing materials using Canva and/or coordinate with designers to develop program flyers and assets
  • Prepare and update PowerPoint presentations and internal documents
  • Support consultant contract management, including tracking contract status, routing agreements for review and signature, and maintaining organized contract records
  • Track consultant engagement activity to ensure alignment with executed agreements
  • Assist with expense submissions and invoice processing
  • Maintain and update internal trackers, including program schedules, attendance, consultant activity, and HCP spend
  • Enter and manage data within internal systems (e.g., Concur and tracking tools)
  • Update and maintain program trackers, including recording post-program attendance
  • Assist in organizing and compiling data for internal reporting
  • Support Sunshine Act (Open Payments) reporting by accurately tracking and recording transfers of value to healthcare professionals and assisting with data reconciliation and reporting requirements
  • Provide onsite support for Medical Education events as needed, including check-in, materials setup, and general coordination
Education and Experience:
  • Bachelor’s degree preferred
Required Knowledge, Skills and Abilities:
  • Minimum of 1 year of administrative support experience required; 3+ years preferred.
  • Previous experience working with a highly technical sales organization (preferably in life sciences).
  • Significant attention to detail, organization, independent judgment, and the exercise of discretion is required.
  • Extensive knowledge of Microsoft Office as well as other software systems.
  • Capability to quickly learn and master software in an expeditious manner.
  • Experience in coordinating national, regional conferences and meetings.
  • Demonstrated ability to multi-task and to function in a fast-paced entrepreneurial, performance driven environment with ever changing priorities and demands for time.
  • Ability to prioritize workload, to meet deadlines and to maintain a high level of quality and accuracy.
  • Extremely effective verbal, written, organizational and interpersonal communication skills; ability to draft and edit business correspondence.
  • Demonstrated ability to develop, implement, follow, and maintain processes and procedures.
  • Collaborative attitude and ability to work extremely well in a team environment.
  • Comfortable working directly with health care professionals.

Working Conditions and Travel:This position follows a hybrid work model, requiring a combination of in-office and remote work. The office environment is typically quiet to moderate.Travel is estimated at 10-15% and may include weekend and evening commitments to support Medical Education programs, meetings, and events.
